The position:
The Senior Office Administrator plays a critical role in supporting the daily operations of a high-performing wealth management office. This position ensures the smooth functioning of administrative workflows, maintains a professional and welcoming environment, and provides direct support to advisors and internal teams. The ideal candidate is highly organized, proactive, and capable of managing multiple priorities with discretion and professionalism.
Responsibilities:
- Serve as the primary point of contact for office coordination and administrative support.
- Greet clients and visitors warmly; maintain a professional and hospitable front office environment.
- Answer and route incoming calls appropriately; manage voicemail and follow-up tasks.
- Schedule internal meetings and client reviews using Salesforce workflows; coordinate priorities with advisors and update systems accordingly.
- Manage conference room calendars and ensure meeting spaces are prepared and maintained.
- Track and follow up on action items from client review meetings in coordination with advisors and Client Service team.
- Liaise with building management for office maintenance and service requests.
- Coordinate repairs and servicing of office equipment with external vendors.
- Support internal event planning and hospitality arrangements for meetings and team gatherings.
- Assist with branch compliance files
- Help coordinate technology needs of the branch
- Process and send client gifts upon request from team members.
- Assist with special projects and operational initiatives as assigned by leadership.

Qualifications:
- Minimum 3–5 years of administrative experience, preferably in financial services or wealth management.
- Strong organizational and multitasking skills with attention to detail.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); experience with Salesforce or similar CRM systems preferred.
- Excellent verbal and written communication skills.
- Professional demeanor with an energetic and welcoming personality.
- Ability to maintain confidentiality and act with integrity.
- Experience supporting leadership and managing office operations is a plus
