Job Title: Executive Administrative Assistant
Location: Swissvale, PA
Pay: $20 - $24/hour
Schedule: Monday - Friday, 8:00 AM – 4:30 PM
Overview:
We are seeking a highly organized and detail-oriented Executive Administrative Assistant to support senior leadership within a growing healthcare organization. This role offers the opportunity to work closely with executive leadership, including the CEO, CMO, COO, and CFO, while contributing to key administrative and operational functions. Candidates must have a background in a healthcare setting.
Key Responsibilities:
- Provide administrative support to executive leadership and additional staff as needed
- Coordinate and manage executive calendars, meetings, conferences, and travel arrangements
- Prepare, transcribe, and distribute Board meeting minutes, reports, and related materials
- Assemble and distribute monthly Board meeting packets
- Communicate with Board of Directors and committee members to confirm meeting attendance
- Draft and edit correspondence and documents for internal and external audiences
- Manage executive correspondence by reading, researching, and routing communications
- Produce reports and documents by formatting, inputting, editing, and transmitting data
- Ensure compliance with HIPAA regulations
- Maintain organized administrative files and records
- Assist with policy, record, and form revisions
- Order supplies and coordinate with external vendors
- Prepare materials for printing and distribution
Required Qualifications:
- 2 years of administrative or executive assistant experience within a healthcare setting (required)
- Must come from a healthcare background in a similar administrative/executive support role
- Proven experience taking meeting minutes, including Board-level meetings
- Strong ability to manage multiple calendars and priorities
- Excellent multitasking and organizational skills
- Strong written and verbal communication skills
Preferred Qualifications:
- Previous experience in an FQHC or healthcare non-profit setting
