Position Overview:
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to the COO to support daily laboratory operations and client coordination. This role is critical in ensuring smooth communication between facilities, physician offices, mobile phlebotomists, and internal departments. The ideal candidate is able to multitask in a fast-paced healthcare environment and take ownership of operational responsibilities.
Key Responsibilities:
- Coordinate and manage all specimen pickups and deliveries from healthcare facilities and physician offices
- Monitor and follow up on STAT requests and urgent specimen status updates
- Serve as the primary point of contact for client communication, including facilities, providers, and office staff
- Communicate scheduling updates and operational needs with mobile phlebotomists
- Create and set up new client accounts in the laboratory system, ensuring all required documentation is completed
- Track daily operational workflow and escalate any delays or service issues to the COO
- Maintain organized records of pickups, deliveries, and service requests
- Assist with improving operational processes and client service standards
- Support general administrative and operational tasks as assigned by the COO
Qualifications:
- Previous experience as an Executive Assistant, Operations Coordinator, or Healthcare Administrator preferred
- Experience working in a medical laboratory, physician office, or healthcare setting strongly preferred
- Strong organizational and multitasking skills with the ability to manage high-priority tasks
- Excellent communication and client service skills
- Proficiency in Microsoft Office, scheduling systems, and general computer skills
- Ability to work independently, problem solve, and handle time-sensitive situations
Schedule:
Full-time: 9AM-5PM
