The Executive Administrative Assistant provides day-to-day administrative support to the Managing Director of Technology Experience Services. This role is based in Philadelphia and helps keep schedules, meetings, and departmental operations running smoothly. The ideal candidate is organized, dependable, and comfortable working in a fast-paced environment.
Responsibilities
- Arrange domestic and business travel using Cigna’s online travel system
- Prepare and submit expense reports on time and review expense reports from team members for policy compliance
- Manage calendars, schedule meetings, and adjust plans when priorities change
- Communicate schedule updates and last-minute changes by email, phone, or text when needed
- Schedule and support internal and external meetings, including Zoom, Webex, and conference calls
- Coordinate meeting logistics and support guests for the Chief of Staff & Operations office
- Attend staff meetings, take notes, track action items, and follow up as needed
- Maintain department organization charts and email distribution lists
- Support team projects such as team-building events, volunteer programs, and other special events
- Assist Philadelphia site leadership with onsite events, including room setup, food orders, and cleanup
- Support a virtual workforce and provide help with audio, video, and mobile devices
- Travel to other company locations or offsite events as needed to support senior leadership
Qualifications:
- 3 years of administrative support experience
- Experience supporting senior leaders preferred
- Strong skills using Microsoft Word, Excel, PowerPoint, and Outlook
- Clear and professional written and verbal communication skills
- Highly organized, detail-oriented, and accurate
- Able to work independently and handle confidential information professionally
- Flexible and able to adjust priorities when business needs change
- Proactive and able to anticipate team needs
- Comfortable working in a fast-paced environment
- Strong sense of integrity, accountability, and professionalism
- Experience supporting a virtual or hybrid workforce is a plus
- Experience with large or Fortune 500 companies preferred
