Description
The Accountant is responsible for maintaining the accounting records, banking, cash flow and other duties as assigned by the Controller.
Essential Duties of the Position
Daily:
- Download postage from USPS and enter in QB’s
- Online banking book transfers and ACH transfers.
- Record bank and lockbox deposits in QuickBooks received from AR department
- Posting/investigation of all deposit corrections received from the bank.
- Post bi-weekly payroll JE’s for four companies
- Download and reconcile company credit card statements
- Post deposits in QuickBooks.
- Post credit card & EFT deposits in QuickBooks.
- Post NSF/Corrections in QuickBooks.
- Assist with office supply tracking and ordering and purchasing of break room and janitorial supplies.
- Manage company credit cards records and reconcile in QuickBooks
- Departmental allocations and intercompany transactions
- Record court checks for Legal departments and download details from Simplifile
- Building maintenance/issues scheduling and coordinating. (Primary)
- Perform other duties as assigned
Monthly:
- Month end preparations: summary statement spreadsheets.
- Monthly client statements, invoices, disbursements, reports, electronic pay files, including but not limited to:
- generating payment report, balancing to statements
- creating custom Excel statements per client requests
- cutting checks, submitting ACH’s
- generating / balancing electronic remit files to statements and releasing to clients
- invoicing from QuickBooks
- generating summary pages
- assembling statements, invoices, checks, summary pages
- mailing to clients
- emailing clients copies per their requests or other requested information pertaining to statements
- handling any client questions by phone or email related statements received.
- Monthly bank account reconciliations.
- Monthly trust account reconciliations and transfers.
- Monthly intercompany account transfers & reconciliations
- Process lockbox refunds
- Download and enter Forte statement fees into QuickBooks
- PA commissions prep
- Month end collection reports
As Needed:
- Ordering of office supplies
- Answer questions as needed for A/R group, assist as needed
- Answer emails/requests from other departments, perform research
- Maintain vendor contracts.
- Set up vendors/W-9 requests/Yearly 1099 and 1096 preparation.
- Bill clients for legal/WC fees.
- Answer client questions – emails, phone calls – on statement issues or payments on account.

Requirements of the Position
- 3-5 years’ experience in accounting/bookkeeping required.
- Knowledge of Quick Books software and FACS software preferred.
- Proficient in Excel.
- Knowledge in Microsoft Office products.
- Details oriented.
- Display strong organization/time management skills.
- Previous payroll experience.
- Experience in benefits administration preferred.
- Knowledge of HIPAA preferred.
- Must be able to perform under pressure and in a fast paced environment.
- Employee must be able to multi-task, prioritize and meet deadlines.
- Excellent verbal communication skills.
- Effective critical thinking and problem solving skills.
- Occasionally required to stand or walk and lift and/or move up to 25 pounds.
Difficulty of Work
Work activities are performed independently. The work can include some difficult aspects. Advice and guidance may be sought from the Controller as warranted to ensure the provision of quality service.
Responsibility
Work is independent in nature. The incumbent makes a substantial impact on the client, employees, and management. Errors by this employee could go unnoticed and cause significant impact.
Personal Work Relationships
Incumbent may deal with various clients, management, colleagues, and employees throughout the company.
Schedule: Monday to Friday 7:30 AM to 4:30 PM
Salary : $36,000 - $55,000
