POSITION SUMMARY:
The Scheduling Coordinator is responsible for managing all information related to coordination and scheduling of surgical procedures. They will interact directly with referring physicians, nursing staff, and patients to ensure smooth coordination of procedures and/or treatments.
Job Essential Duties
- Schedule procedures with attention to specific anatomical descriptions and instructions
- Use intermediate and complex medical terminology and precise scheduling protocols to ensure compliance
- Obtains, verifies, and/or updates demographics and insurance information in the appropriate electronic patient health information systems
- Gather medical history and documents accordingly in patient scheduling software IE: demographics, insurance, exams
- Educate patients on procedures and operating hours, perform verification and authorizations of surgeries with insurance companies.
- Creates surgery packets for providers and mails confirmation letters for patient
- Answers in-coming telephone calls within three (3) rings and accurately directs and/or assists the caller
- Forwards calls accurately to the correct person or extension and ensures that someone is answering on the extension before passing the caller
- Assists with contacting vendor representatives for surgical tools required for surgery
- Schedules medical/cardiac clearance appointments as needed
- Demonstrates competency and proficiency with the electronic medical patient information system
- Maintains and updates any patient or telephone logs that may be requested
- Ensures that the referral authorization process is completed timely and accurately
- Documents if an authorization is denied from the PCP or the insurance company, including the reason and date of services
- Schedules patient surgical and clearance appointments for the referred service with the indicated surgery center or hospital, providing them with authorization information, including authorization number
- Contacts each patient to provide surgery information including date, time, location, and any other instructions required for the referred visit
- Maintains referral/authorization information for tracking
- Understands the documentation required to substantiate the financial category of the patient and can articulate the requirements to the patient to obtain the necessary information
- Maintains open communication with the Front Desk, Nursing Department, Providers, and insurance companies

- Minimum of six months of customer service experience in a high-volume impact environment, preferably in a healthcare field

- Must be able to handle multiple projects simultaneously and set priorities
- Must always maintain a professional demeanor and appearance
- Bilingual (Spanish / English) a plus
