Position Overview
The Executive Assistant provides high-level administrative support to an MC Innovations client, ensuring seamless daily operations and efficient workflow management. This role demands exceptional organization, professionalism, discretion, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
• Manage and update agency contacts in the various claims and reporting systems.
• Complete Payroll Report and Self-Insurers Report.
• Handle annual premium billing, legacy claim billing, and agency-specific premium billing.
• Complete Cost Avoidance Report.
• Manage calendars, including scheduling meetings, appointments, and travel arrangements.
• Prepare, review, and edit correspondence, reports, presentations, and other documents.
• Screen and direct incoming calls, emails, and other communications appropriately.
• Conduct research, compile data, and prepare reports for review.
• Handle confidential information with the utmost discretion and professionalism.
• Serve as a liaison between executives, internal teams, program team partners, and MCI.
• Assist with purchasing, expense reporting, budget tracking, and invoice processing per guidelines.
• Manage annual reporting calendar, support project management, and follow up on action items to ensure completion.
• Coordinate annual background checks and parking for contract staff per contract requirements.
• Distribute announcements to agency contacts and internal team members.
Qualifications
• Bachelor’s degree preferred; equivalent experience may be considered.
• 3 years of experience in an executive assistant or similar administrative role.
• Excellent written and verbal communication skills.
• Strong proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms.
• Proven ability to prioritize tasks, manage time effectively, and work independently.
• Demonstrated discretion in handling confidential and sensitive information.
• Strong attention to detail and organizational abilities.
• Professional demeanor and a proactive, positive attitude.
Work Environment & Physical Demands
This position is primarily performed in an office setting during standard business hours or in a telework capacity from an approved alternative location. The Executive Assistant will be required to work on-site at the client’s downtown Richmond VA office two days per week. Occasional overtime or flexible scheduling may be necessary to support executive needs or program deadlines.
