The Opportunity
As the Front Office Coordinator, you are the heartbeat of the Burlington practice. You will be responsible for creating a warm, welcoming, and efficient experience for every patient who calls or walks through our door. This role is essential to our daily operations and requires a professional who is detail-oriented, reliable, and committed to upholding our high standards of service.
Key Responsibilities
- Patient Engagement: Serve as the primary point of contact, greeting patients and visitors warmly, and ensuring a smooth check-in and check-out process.
- Administrative Flow: Expertly manage a multi-line phone system, directing calls, answering general inquiries, and taking detailed messages for clinical staff.
- Scheduling & Coordination: Efficiently schedule, confirm, and manage patient appointments, optimizing the doctor and hygienist schedules for maximum productivity.
- Records Management: Accurately collect and update patient demographic and insurance information, maintaining the integrity of all electronic and paper records.
- Financial Support: Collect co-payments and outstanding balances, process transactions, and assist patients with basic questions regarding their billing.
- Office Maintenance: Oversee the organization and appearance of the reception area, manage inventory, and coordinate the ordering of office supplies.
- Compliance: Maintain strict adherence to all patient privacy regulations (HIPAA).
Qualifications
- High School Diploma or equivalent required.
- Proven experience in a high-volume reception, customer service, or administrative role.
- A minimum of 3 years of experience in a dental office is strongly preferred.
- Proficiency with dental practice management software (experience with Dentrix and/or Ascend is a plus).
- Exceptional organizational skills, strong attention to detail, and a proactive approach to problem-solving.
- Demonstrated ability to communicate clearly and professionally, both verbally and in writing.
- Must be highly reliable and punctual to maintain the required Monday–Thursday, 7:45 AM – 4:45 PM schedule.
