Responsibilities
End-to-End Interview Coordination
- Scheduling Logistics: Facilitate, coordinate, and schedule multi-stage interviews between candidates and client hiring managers.
- System Tracking: Initiate and manage interview requests, ensuring real-time status updates within the client ATS tool.
- Calendar Management: Troubleshoot scheduling conflicts proactively and manage calendar invites/meeting links (e.g., MS Teams).
- Program Delivery & Management: Oversee the lifecycle of the client s Student Hiring Program, ensuring a seamless experience from initial attraction to hand off for onboarding.
- Recruiting & Sourcing: Coordinate specific recruitment campaigns for student talent, managing job postings and targeting academic channels where applicable.
- Stakeholder Alignment: Consult with client managers to identify upcoming student/intern talent needs, skills gaps, and project timelines.
- Requisition Management: Utilize request forms to create and launch new job postings.
- Market Intelligence: Conduct Market Rate Analysis for new talent needs to ensure competitive pricing.
- Talent Curation: Review candidate profiles and manage the shortlisting process for hiring managers.
- Offer Logistics: Extend offers to contingent workers and generate accurate work orders within the VMS.
- Lifecycle Management: Process contract extension requests and facilitate Statement of Work (SOW) updates in the system.
- Reporting: Generate regular operational reports utilizing predefined system templates.
- Other VMS tasks as assigned to support program health.
- Document Control: Responsible for SharePoint document management, ensuring process guides and templates are current.
- Client Presentations: Gather data to generate regular client-facing presentations and quarterly business review support materials.
- Supplier Relations: Coordinate, develop, and maintain positive relationships with the supplier community to ensure high-quality delivery.
- Special Projects: Lead or assist with special programmatic initiatives and other tasks as requested.
- Experience: 2 3 years of experience in Human Resources, VMS Administration, Staffing, or Campus/High-Volume Recruitment Coordination.
- Agility: Demonstrated ability to multitask, shift focus dynamically between high-volume administrative tasks and programmatic deadlines, and maintain self-motivation.
- Problem-Solving: Strong independent problem-solving skills with a proactive approach to handling logistics.
- Communication: Excellent written, verbal, and interpersonal communication skills for interacting with corporate leadership and student talent alike.
- Organization: Superior organizational skills with sharp attention to detail.
- Collaboration: Proven ability to work effectively both independently and within a collaborative team environment.
- Technology: Proficient with the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, and Teams) and SharePoint.
- VMS Systems: Previous experience navigating Vendor Management Systems such as SAP Fieldglass, VNDLY, or Beeline.
- Analytics: Experience with basic data and report analysis to identify program trends.
- Program Ownership: Prior exposure to managing or coordinating internship, co-op, or university-level hiring initiatives.
