Administrative Assistant
Location: Oceanside, CA | Onsite
Schedule: Monday–Friday | 8:00 AM–5:00 PM
Duration: 3–4 Month Contract
Pay rate: $32.02
Position Overview
We are seeking a professional and highly organized Administrative Assistant to provide advanced administrative and project support to senior leadership and department staff. This role also serves as a point of contact for employees, visitors, and the public by providing information and assistance regarding organizational services, programs, policies, and procedures.
The ideal candidate will demonstrate strong judgment, attention to detail, adaptability, and exceptional customer service skills in a fast paced environment with changing priorities and deadlines.
Key Responsibilities
• Provide high-level administrative and clerical support to managers and department leadership
• Prepare, proofread, format, and distribute memos, reports, presentations, correspondence, and confidential documents
• Manage Outlook calendars, schedule meetings, conference calls, and appointments
• Coordinate meeting logistics including conference rooms, technology setup, and catering as needed
• Maintain electronic filing systems and document management records in compliance with company procedures
• Coordinate employee travel arrangements and assist with expense reporting and reimbursements
• Process and manage base pass requests for employees, contractors, and subcontractors working on Camp Pendleton
• Perform general office duties including scanning, filing, mailing, ordering supplies, printing, and photocopying
• Provide front desk coverage by answering phones and greeting visitors in a professional and friendly manner
• Handle incoming and outgoing mail distribution, including deliveries to offsite locations using a company vehicle
• Assist with special projects, event coordination, and additional administrative duties as assigned
Qualifications
• Associate degree preferred
• Minimum of 2 years of high-level administrative support experience
• Typing speed of at least 55 WPM
• Bilingual English/Spanish is a plus
• Strong written and verbal communication skills
• Excellent proofreading, organization, and multitasking abilities
• Intermediate to advanced Microsoft Office Suite skills required
• Experience with document management systems or ERP systems is a plus
• Ability to maintain confidentiality and professionalism at all times
• Strong customer service mindset with a flexible, team-oriented attitude
Additional Requirements
• Valid California Driver’s License with a clean driving record
• Ability to obtain and maintain access to Camp Pendleton
• Ability to lift up to 25 pounds and travel between work locations as needed
