A successful commercial real estate firm in Boston is looking for an Operations Administrator to join their team. This role will serve as a trusted partner to senior leadership while supporting the efficiency of day-to-day operations across the organization. This highly visible position requires a proactive approach, strong attention to detail, and robust verbal and written communication skills.
Responsibilities
- Provide a broad range of administrative support to senior principals (calendar management, meeting coordination, materials preparation, correspondence drafting, etc.)
- Maintain files, place and track orders, and track receipts
- Support communications with equity partners and long‑term stakeholders
- Generate and distribute required reports and other stakeholder updates
- Maintain loan files, financing correspondence, compliance calendars, and reporting requirements
- Gather operational, leasing, and financial data for lender and ownership reporting
- Coordinate communication between internal and external stakeholders
- Support marketing efforts by preparing presentations, maintaining website content, and coordinating advertising placements
- Other duties as assigned for efficient and smooth running of the organization
Skills and Experience
- Bachelor’s degree required
- 3-5 years of administrative/operations experience required, ideally within a real estate environment
- Experience collaborating with commercial property management and leasing teams
- Attention to detail with a strong focus on proactive and positive approach
- Strong computer skills, including Microsoft Office, Excel, and related software programs
- Strong verbal and written communication
- Exceptional organization and attention to detail
- Ability to prioritize competing tasks in a fast-paced environment
Compensation
- $85-125k
