Job Summary
The Cash Poster/Account Receivable Clerk is responsible for accurately applying customer payments, researching payment discrepancies, maintaining customer account balances, and supporting the overall accounts receivable function. This position plays a critical role in ensuring timely and accurate cash applications, reducing unapplied cash, and providing excellent support to customers, sales representatives, and internal departments regarding account inquiries.
Key Responsibilities:
- Customer Service:
- Greet and assist customers with a friendly and professional demeanor via email and phone.
- Address customer inquiries, concerns, and complaints effectively and promptly.
- Provide information about products, services, and promotions.
- Process returns, exchanges, and refunds in accordance with company policies.
- Payment Processing:
- Accurately process credit, and debit transactions.
- Ensure all transactions are recorded correctly.
- Maintain deposit register and ensure it balances at the end of each batch/deposit.
- Accurately process EFT/ACH transactions and balance customer accounts
- Administrative Tasks:
- Prepare and maintain daily deposit reports and spreadsheet.
- Update and manage customer accounts and records.
- Review any deductions or short paid issues to resolve account balances.
- Compliance and Security:
- Adhere to company policies and procedures regarding payment handling and security.
- Team Collaboration:
- Work collaboratively with team members to enhance customer satisfaction.
- Participate in staff meetings and training sessions to stay updated on company policies and procedures.
ACCOUNTABILITIES:
• The Cash Poster is sometimes responsible for performing duties beyond the normal workday.
• The Cash Poster must also sometimes investigate and resolve problems that arise with orders and deliveries.
Qualifications:
- High school diploma or equivalent; some college education or relevant experience preferred.
- Previous experience in a customer service or cash handling role is a plus.
- Excellent communication and interpersonal skills.
- Strong attention to detail and accuracy in handling cash transactions.
- Ability to handle multiple tasks in a fast-paced environment.
- Proficiency in basic math and computer skills.
- Positive attitude and a team-oriented approach.
PHYSICAL ACTIVITIES AND REQUIREMENTS:
Ability to position self to access objects such as filing cabinets, ability to remain stationary for extended periods of time, and ability to operate office machinery such as a computer or telephone, ability to communicate effectively and ability to do repetitive motions. Ability to exert up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to move objects. The job is mostly sedentary
MENTAL AND VISUAL REQUIREMENTS:
Close mental and visual attention required to perform work dealing primarily with preparing and analyzing data and figures, performing accounting work, using a computer terminal, AND/OR extensive reading.
