Job Summary
We are seeking a professional and organized Front Desk Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and administrative support. This role requires excellent communication skills, proficiency with office management tools, and the ability to handle multiple tasks efficiently in a fast-paced environment. Experience with office management, clerical duties, and customer support is essential to ensure smooth daily operations.
Duties
- Greet visitors and clients warmly, ensuring a positive first impression
- Manage multi-line phone systems, directing calls appropriately and taking detailed messages
- Schedule appointments and manage calendar bookings using Google Workspace or Microsoft Office tools
- Perform data entry, filing, and maintain accurate records using QuickBooks or other office software
- Assist with administrative tasks such as proofreading documents, managing correspondence, and organizing files
- Handle billing and bookkeeping responsibilities as needed
- Support office management activities including supply inventory and general clerical duties
- Provide exceptional customer service by addressing inquiries promptly and professionally
- Support medical or dental reception duties if applicable, including patient check-in and appointment coordination
- Maintain a professional appearance and uphold phone etiquette at all times
Requirements
- Proven experience in office management, clerical work, or administrative support roles
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
- Experience with QuickBooks or bookkeeping is a plus
- Excellent organizational skills with the ability to multitask effectively in a busy environment
- Bilingual abilities are preferred to serve diverse client needs
- Strong communication skills, both verbal and written, with professional phone etiquette
- Ability to handle sensitive information discreetly and maintain confidentiality
- Prior experience as a receptionist in medical or dental offices is advantageous
- Personal assistant experience or calendar management skills are beneficial
- High school diploma or equivalent required; additional office certifications are a plus
