What are the responsibilities and job description for the Administrative Assistant position at Maine Long-Term Care Ombudsman Program?
The Maine Long-Term Care Ombudsman Program is looking for a highly organized and detail-oriented administrative assistant. This full-time position is a great opportunity to provide administrative support and general office management for a dedicated and busy team of advocates and volunteers who serve older and disabled adults who need long-term services and supports. This position requires a courteous and welcoming telephone manner, strong verbal and written communication skills, and proficiency with Microsoft Office Suite.
Responsibilities:
-Answering phone calls and directing callers to the appropriate person
-Maintain professional and polite communication via email, mail, and over the phone
-Scheduling meetings as requested
-Managing office tasks such as preparing letters, memos, and preparing reports
-Maintaining files including electronic files
-Serving as a contact for vendors
-Managing and ordering office supplies
-Mail collection and distribution
-Prepare, format, edit, and proofread papers for consideration and presentation by the Executive Director, committees, and board of directors
-Making travel arrangements as needed
-Other duties may be assigned
The successful candidate will possess the following qualities:
-Good organizational and time management skills
-Good interpersonal skills, desire to be proactive, and approachable personality
-Ability to adjust actions in relation to others’ activities and manage one own’s time and others’ time
Eligibility Requirements:
-2 to 3 years prior administrative experience
-Highly proficient in Microsoft Office Suite
-Excellent computer skills including typing
-Attention to detail
