Business and Real Estate Paralegal – MBM|LAW
MBM|LAW is seeking a Business and Real Estate Paralegal / Legal Administrative Assistant to provide high-level support to the Firm’s senior partners and assist attorneys with commercial real estate and corporate transactional matters. This role is ideal for a polished, proactive professional who thrives in a fast-paced environment, exercises excellent judgment and discretion, and is comfortable balancing substantive paralegal work with executive-level administrative responsibilities.
Essential Duties and Responsibilities
· Support senior partners with day-to-day practice and client service needs, prioritizing requests and exercising sound judgment and discretion.
· Prepare and format initial drafts of routine contracts, leases, acquisition documents, and closing materials; coordinate execution and signature packets.
· Assist attorneys with commercial real estate and corporate transactions, including diligence, checklists, and tracking of closing deliverables.
· Track correspondence, action items, and deadlines; draft responses when appropriate and keep attorneys advised of status.
· Proofread, cite-check (as applicable), and quality-control correspondence and transactional documents to ensure accuracy and consistency.
· Assist with business entity formation and maintenance documents, as needed.
· Manage senior partners’ communications (calls, email, correspondence), triage inquiries, and route matters to attorneys/staff as appropriate.
· Serve as a primary liaison among partners, attorneys, staff, and clients to ensure timely follow-up and a high level of service.
· Communicate with clients professionally and promptly, providing updates and information at the direction of the partners and attorneys.
· Assist with correspondence and document production, including redlines/compare versions, assembling exhibits, and sending final documents.
· Maintain organized electronic and hard-copy matter files, including naming conventions, version control, and closing binders.
· Coordinate logistics for closings, meetings, and conference calls (scheduling, materials, attendees, and follow-ups).
· Manage calendars, task lists, and priorities for multiple senior partners, anticipating needs and coordinating across internal and external stakeholders.
Education and Key Job Competencies
1. Associate degree, paralegal certificate, or equivalent combination of education and experience.
2. 3 years of transactional and real estate experience.
3. Strong research and analytical skills.
4. Strong planning and organizational skills and the ability to meet deadlines.
5. Ability to work collaboratively, proactively, and with minimal supervision.
6. Proficiency with Microsoft 365 (Outlook, Word, Excel, and Teams), including scheduling, document formatting, and collaboration tools.
7. Familiarity with Allegheny County Department of Real Estate, Allegheny County Department of Court Records, and other Recorder of Deeds websites.
8. Required to have strong organizational skills and talent to prepare, coordinate and maintain calendars and task lists for multiple attorneys.

Salary : $47,500 - $52,000
