We are currently seeking a Full Time Administrative Assistant to oversee the general administrative functions and activities of the office and provide support to the Community Administrator.
Responsibilities:
- Oversees daily work activities of Magnolia Assisted Living and keeps the office running smoothly
- Assists with recruiting, interviewing, hiring paperwork, and verifying background checks
- Provides clerical support for the community with assigned administrative duties such as answering phones, sorting and distributing mail, and preparing documents
- Oversees petty cash fund and keeps petty cash log
- Manages receipts and creates weekly expense reports
- Monitors the front door and checks in visitors
- Coordinates with other support departments such as human resources, payroll and upper management to ensure successful operations
- Manage, collect and record rent for residents at Magnolia Frisco
- Maintain office files and implements an efficient system to access files and records
- Maintain census thru outreach efforts
- Reports to leadership daily census and available rooms
- Ensure all Magnolia Frisco residents have food/supplies based on established par levels
- Manage resident spending accounts
- Payroll review and approval of direct reports
- Collects and forwards invoices to A/P
- Orientation and training oversight of newly hired employees
- Covers Administrator when they are out of the office.]
- Maintain inventory of office supplies: orders new supplies as needed
- Works with Area Director and other leaders to identify and address inefficiencies and opportunities for cost reduction
- Performs other duties as assigned
Required Skills/Abilities:

- Strong supervisory and leadership skills.
- Thorough understanding of Magnolia’s policies and practices.
- Valid Driver's License.
Education and Experience:
- High school diploma or equivalent required.
- Some college course work preferred.
- Exceptional reliability and ability to work 8am until 5pm Monday through Friday.
- One year of experience working in an Assisted Living community preferred.
Physical Requirements:
- Must be able to access and navigate the facility.
- Must be able to lift up to 25 pounds at a time.
- Prolonged periods sitting at a desk and working on a computer.
- Nonsmoking building and property.

Pay: From $19.00 per hour
Expected hours: 40 per week
