What are the responsibilities and job description for the Accounts Receivable/Civil Process Clerk position at Madison County Government?

Incumbent serves as Assistant Civil Process Clerk.

Duties:

Include but are not limited to:

Prints and mails tax warrants daily.

Accepts and processes payments for tax warrants both in person, via credit card service, and through mail. Creates payment plans for customers as needed.

Accepts Sheriff Sale cost payments and sale payments and processes sales disclosures and recording checks after each sale.

Reconciles cashbook at the end of each day and makes bank deposit.

Processes cancellation fees and mails cancellation notices for Sheriff Sales.

Collects Sheriff’s Service fee payments and deliveries to the Clerk’s Office.

Assists with opening, sorting, and processing departmental mail.

Documents each service paper as it arrives by entering it into the proper database with a high level of accuracy; then sorts office copies from service copies.

Documents the return of service into the database with a high level of accuracy. Then, prepares and delivers the return of service to the court of issue and/or another designee as requested by the sender.

Documents “Return to Sender” mail in the proper database and forwards the mail to the court of origin.

Answers telephone and determines nature of calls. Responds to questions or directs the caller to the proper person, division, or department.

Greets office visitors, determines the nature of their business, and assists them with questions/concerns, or routes them to the appropriate person, division, or department.

Operates and maintains various office and recordkeeping equipment, including computers, printers, telephones, copiers, and scanners.

Performs other duties assigned by the Court Administrator.

Job Requirements

High School diploma or equivalent, some college preferred but not required.

Must be able to demonstrate proficiency in Microsoft Office (especially Word, Outlook, and Excel) and all applicable data-entry programs used by the Civil Department.

Fundamental knowledge of the department's principles and practices, especially as they relate to maintaining accurate recordkeeping.

Working knowledge of Civil process and court rules.

Knowledge of clerical and bookkeeping procedures involved in gathering, compiling, and verifying records information.

Knowledge of standard office procedures and ability to use office equipment.

Ability to address the public respectfully and courteously, both in person and by phone.

Must be able to maintain a professional manner of dress and perception as required by the Court Administrator and Departmental Policy

Knowledge of and ability to use proper English, spelling, punctuation, and grammar, as well as basic mathematics.

Responsibilities

Incumbent performs a variety of standard duties in accordance with the department's established practices and procedures, using judgment and taking personal action to determine and implement the best methods to achieve desired results.

Personal Work Relationships

Ability to work independently with minimal supervision and as part of a team, and to maintain appropriate, respectful interrelationships with co-workers, supervisors, representatives of other governmental jurisdictions, and the public.

Pay: $16.00 - $18.00 per hour
