Summary of Position

Performs administrative, clerical, and receptionist duties for the Community Development Department

Examples of Duties and Responsibilities

  1. Answers and screens incoming calls, receives and directs visitors for all MCCD staff, responds to inquiries, and assists visitors with questions regarding program applications
  2. Proficient with office phone system and Microsoft Office
  3. Sets appointments with clients for all MCCD programs
  4. Assists with agenda management software, Grants Committee agenda management, meeting attendance, recording and transcribing meeting minutes, maintains meeting backup files, and complies with the OMA
  5. Process all incoming and outgoing mail
  6. Assists office staff with computer, copier and phone issues
  7. Picks up and logs all incoming checks, delivers to MCCD Accounting and Treasurer as necessary, takes mail to mail room, and delivers claims to the Auditor’s office
  8. Each morning checks all office copiers for full paper drawers and fills if necessary, and empties recycle bins near copiers into larger bins
  9. Maintains small conference room calendar, employee time off calendar, and MCCD Vehicle calendar, coordinates MCCD Vehicle maintenance appointments
  10. Makes convention and travel arrangements for staff, gets approval from Chairman for MCCD travel
  11. Orders office supplies and equipment, picks up supplies from support services, and maintains office supply lists
  12. Assist LIHEAP & Homeless Division staff as necessary
  13. Serves as backup to Secretary III Lead Worker
  14. Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above

Minimum Qualifications

A high school diploma or equivalent and zero to six (6) months related experience are required.

Physical Requirements

Sit for extended periods of time. The employee is required to walk or move up to 400 feet from primary desk. The employee is occasionally required to stand and stoop, kneel, crouch and crawl. The employee must frequently lift and/or move up to 10 pounds and occasionally lift/and or move up to 25 pounds. Specific vision abilities required by this job include close vision and distance vision.
