About The Role
In this role, you will support the day-to-day operations of the office in Carlsbad, CA. You will effectively manage client space, vendors, and the delivery of high-quality facilities management services to the Client. This role involves managing resources, fostering an ethos of teamwork, and supporting a culture of continuous improvement. You will remotely manage a team providing guidance to ensure workflows are delivered safely and efficiently. You will also develop and maintain a strong, trusting relationship with the Client and contribute to the overall success of Macro through effective operational activities.
Main Responsibilities Will Include
- Remotely lead, motivate, and develop the front of house team, ensuring effective workload management and career growth.
- Ensure the team is fully trained, qualified, and equipped with the necessary documentation and systems access.
- Champion outstanding customer service, aligned with Macro’s commitment to client satisfaction.
- Ensure compliance with Macro’s and client standards, policies, and technical procedures.
- Maintain a clean, safe, and fully functional office environment, ensuring high customer satisfaction.
- Oversee all facility services, including cleaning, maintenance/repairs, reception, and general office functionality. Participate in capital projects as directed.
- Perform regular inspections of common areas and record findings; generate work orders for issues such as equipment faults, cleaning needs, and lighting replacements. Log, track, and close out all work orders.
- Ensure compliance with all applicable legislation, life safety requirements, and internal Macro processes.
- Serve as local EHS representative, ensuring a safe working environment. Manage office physical safety and support site safety inspections, ensuring timely closure of non-conformances. Lead first responder/floor warden teams, including recruitment, coordination, and training.
- Administer access cards, including programming and periodic audits.
- Prepare and manage the annual office budget.
- Act as primary point of contact for building management, visiting executives, executive assistants, and assigned staff.
- Maintain positive relationships with clients, suppliers, and property management.
- Coordinate vendor activities, ensuring service delivery meets contractual expectations and provides value.
- Receive, track, and distribute incoming mail and packages, process outgoing USPS and courier shipments.
- Restock pantry and office consumables; submit orders to maintain inventory levels. Clean and maintain coffee machines; restock snacks, beverages, and paper goods. Check and service multifunction devices daily (paper, toner).
- Support reception functions as needed. Assist executive assistants with needs related to visiting executives. Support local events during business hours.
- Share knowledge and collaborate with Facilities teams across all sites.
- Perform other duties as assigned by the Client or Macro leadership.
Salary is $65,000 - $72,000 annually.
About You
The ideal candidate will have:
- High school diploma or equivalent.
- Experience working in Office Services, Facilities, or Property Management.
- College education, trade school certification, FMP credential, or any recognised HSE qualifications (desirable).
- Proficiency in internet software, Outlook, Teams, Word, Excel, and PowerPoint.
- Excellent interpersonal, verbal, and written communication skills.
- Ability to work independently.
- Ability to analyse complex situations and apply creativity and problem-solving skills to develop solutions.
- Willingness to reflect on lessons learned and remain open to feedback.
