Job Overview
We are seeking a highly organized, reliable, and customer-focused Shop Operations Coordinator to support daily operations at our location. This role is essential to keeping the front office running smoothly, assisting customers, and supporting production workflow. The ideal candidate is personable, detail-oriented, comfortable learning new systems (including CCC), and able to handle a wide range of administrative and customer-service tasks. This is a versatile role with opportunities for growth into estimating and production support.
Responsibilities
Customer Service & Front Desk
- Greet customers promptly and professionally; maintain a clean, welcoming front office.
- Answer and route phone calls efficiently; schedule appointments using CCC and Google Calendar.
- Provide clear, friendly communication via phone, email, and in person.
Administrative & Office Support
- Perform data entry, filing, scanning, and maintain accurate customer/vehicle records in CCC.
- Update production status and assist with communication between the front office and shop.
- Manage office supplies and assist with invoice creation and basic bookkeeping tasks.
- Conduct follow-ups: leads, estimates, customer updates, and post-service satisfaction calls.
Production & Workflow Support
- Learn and assist with writing basic estimates in CCC (training provided).
- Assist with the production check-in process, including photos, vehicle walk-arounds, and documentation.
- Support parts management: ordering, receiving, logging, and handling core returns.
Customer Transportation & Deliveries
- Deliver finished vehicles to dealer accounts as needed.
- Provide pickup/drop-off for retail customers (valid driver’s license required).
- Collect customer payments at the front desk and during vehicle deliveries.

Qualifications
- Experience in office administration, customer service, or front-desk roles.
- Strong computer skills; proficiency with Microsoft Office, Google Workspace, and data entry.
Experience with CCC One or QuickBooks is a plus but not required—training provided.
- Excellent communication skills and professional phone etiquette.
- Strong organizational and multitasking abilities in a fast-paced environment.
- High level of attention to detail and accuracy in data entry and paperwork.
- Ability to maintain confidentiality and handle sensitive information.
- Bilingual abilities are highly desirable.
- Valid driver’s license and clean driving record.
- Prior experience in automotive, estimating, or parts management is a plus but not required.
