Our client located in Farmingdale is looking to hire an Administrative Assistant ASAP. In this role as an administrative assistant you will be responsible for supporting the owner of a well established organization that is growing. Since you are supporting the owner, you would be handling the tasks that are assigned as they come up so you must be comfortable with juggling priorities. This is a very busy office so you will be asked to handle various kinds of administrative tasks on a regular basis. This Administrative Assistant position is a full time opportunity working for a small office so we’re looking for someone with a “start-up” mentality. The ideal candidate would be someone with an entrepreneurial mindset, go getter kind of attitude, proactive, willing to learn and grow within the position and they need someone who is very organized. Since this is a small office, as the company grows, there is opportunity for career advancement. Hours are Monday – Friday from 9am – 5pm. The ideal candidate will have a minimum of 3 years of applicable experience in an architectural, engineering, construction, restoration, plumbing, HVAC or any kind of trade company.
JOB TITLE: Administrative Assistant
Description: The Administrative Assistant position is key in this organization since you will be forward facing with clients, direct contact with decision makers and you will be a key player in the day to day operations of the business.
Responsibilities:
· Answer the phones and screen calls
· Ordering Office Supplies and keeping an eye on inventory
· Conference Room Set Up
· Handle all Travel Arrangements
· Handle the mail and all email correspondence
· Calendar management for the owner
· Following up on contracts and obtaining fully executed contracts (digital signature platforms)
· Ordering lunches for the staff during company meetings & planning company parties
· Keep the office environment neat and tidy
· Run reports from the database and distribute them to the correct individuals
· Payment processing and light accounting tasks
Experience:
• Excellent verbal and written communication skills
• Excel, MS Office, Teams,
• Minimum of 3 years of applicable experience in an architectural, engineering, construction, restoration, plumbing, HVAC or any kind of trades.
Salary is based upon experience but they offer a competitive range of $60,000 - $65,000 depending upon experience. They also offer a full benefits package.
