Description
The position will ensure positive and proactive communication with prospective patients via inbound and outbound telephone calls, email, and text messaging. The communication should be aligned with the focus on always providing the best possible patient experience. This position handles all new patient inquiries, completes patient registration, and reports weekly and monthly date as requested.
Duties and responsibilities
- Timely answering of all inquiries from potential new patients
- Delivers exceptional customer service on all contact with potential patients or referring provider offices i.e., calls, email, text/chat sessions
- Instructs all patients desiring a new patient appointment to complete required registration forms (either by internet, email, fax, or mail)
- Mail new patient packets/registration forms to potential new patients when requested
- Performs day-to-day administrative functions and general office duties including but not limited to word processing, copying, filling, faxing, and answering phones and data entry
- Provides information to potential new patients according to the clinic policies and procedures
- Coordinates new patient referrals and accurately updates profiles in Salesforce for tracking purposes
- Ability to accurately enter new patient leads in Salesforce and EMR
- Uploads referrals to EMR at time of scheduling; or fills out self-referral questionnaire at time of scheduling
- Schedules new patient according to predetermined appointment parameters issued by supervisor to allow the clinic to serve an adequate number of patients in all locations
- Informs patients of all required documents or information that must be presented during their new patient visit i.e., photo ID, insurance card(s), new patient packet, imaging pertaining to pain complaint
- Verifies patient’s insurance at time of scheduling
- Performs additional duties as assigned
- Maintains patient confidentiality
Qualifications
- High School Diploma: additional qualifications will be a plus
- Applicants with Worker’s Compensation experience are encouraged to apply
- Ability to multi-task with many duties
- Understands the importance of maintaining confidentiality; able to maintain confidentiality under HIPAA and clinic standards
- Must have the ability to exercise a high degree of diplomacy, excellent customer service and interpersonal communication skills
- Intermediate computer knowledge and skills
- Intermediate to advance phone skills; able to effectively relate via the telephone and in person to better serve the needs of the clinic, patients, clients, and visitors
- Prior administrative or clerical experience in the medical field preferred
- Type 35 words per minute
- Customer service: 1 year (Preferred)
- Coordinates new patient referrals: 1 year (Preferred)
Working conditions
- Operates computers, scanners, telephones, and additional office equipment
- Work a full 8-hour shift in an office setting
- Must wear appropriate dress code attire in accordance with company policy and procedures
Physical requirements
- Able to sit and stand for long periods of time
- Minimal lifting required with maximum of 50 lbs.
