What are the responsibilities and job description for the Front Desk Accounting Clerk position at Lower Elwha Klallam Tribe?
OVERVIEW: Manages phone and customer contact at the front desk window, manages document intake for department, receives cash payments and provides receipt for payment, distributes checks through retrieving checks from safe and sign out, assists with postage meter and other Front Desk and Accounting Clerk duties as required.
ESSENTIAL FUNCTIONS OF JOB:
• Manage phone and customer service contact at window.
• Check distribution, retrieve checks from the safe and manage sign out sheets for the distribution of outgoing documents from the Finance Department.
• Print check requests and purchase order requests several times a day and forward to designated staff.
• Prepare upload files for recurring monthly bills and payroll deductions and deliver to designated staff.
• Send out open invoices to departments as needed with instructions to provide check requests for payment.
• Various filing tasks – keep AP filing and special binders up to date.
• Review documents and reports as needed.
• Sort incoming mail, manage mail log and distribute to departments.
• Manage postage meter and prepare outgoing mailings.
• Assist departments with postage meter operation.
• Receive payments at front desk and provide receipts for incoming payments.
• Other Accounting Clerk duties as assigned.
DESIRED QUALIFICATION OF POSITION:
• Minimum of High School Diploma or GED, post-secondary education, Associate degree in business or equivalent.
• Accounting job experience is preferred.
• Must have valid driver license and insurance
• Proficient skills in Microsoft Office (Word, Excel, Outlook) typing, filing and general clerical functions.
• Demonstrated numeric ability to perform arithmetic calculations and finger dexterity in use of standard department equipment.
• Ability to maintain accurate records and attention to detail.
• Skilled interpersonal communications and ability to relate well with the public supervisor(s), and co-workers.
• Ability to maintain CONFIDENTIAL information.
PHYSICAL REQUIREMENTS:
• Stamina to work 40 hours per week or as needed, primarily in an office setting.
• Ability to reach and squat for filing purposes.
• Walking and standing.
• Able to lift and carry light loads of approximately 25 pounds.
• Requires use of standard office equipment, including computer, phone, fax, and photocopier.
• Need to be able to effectively deal with a wide tribal and public population.
OTHER DUTIES AND REQUIREMENTS:
• Must be able to comply with the LOWER KLALLAM TRIBE policies and procedures, including the Drug Free Workplace.
• Assist other staff when available.
• Be able to work in a fast pace and deadline-oriented environment.
• Must be able to travel for training purposes or meetings.
• Must be available to work long hours during Audits.
