Longwood CLC is looking for a Medical Records Specialist to join our growing team!

Medical Records Specialist (MRD) duties include but are not limited to:

  • Demonstrate a visible commitment to the CES mission, vision, and values, modeling collaboration and teamwork
  • Provide daily reports during clinical stand-up, including past due forms, clinical alerts, orders, admissions, and discharges
  • Compile and set up resident medical records and enter data into the software system
  • Collect information from nursing staff, physicians, and other sources; update electronic and hard copy records as needed
  • Monitor and audit records for completeness and accuracy in accordance with company policy and state regulations
  • Process transfer and discharge records, including discharge auditing
  • Maintain appropriate storage and records for former residents per company policy
  • Assist the Nursing Department with administrative support, audits, and education
  • Perform daily, weekly, monthly, and quarterly medical record audits
  • Audit skilled care documentation and changes in condition daily
  • Participate in QI, Infection Control, and PDPM committee responsibilities as directed
  • Resolve or clarify codes and diagnoses with conflicting or missing information in consultation with physicians
  • Prepare statistical and narrative reports for physicians, the facility, the company, or state agencies
  • Compile census, demographic, and medical data as requested
  • Oversee appropriate documentation within the software system and provide audits and education as needed
  • Update CNA tasks daily based on orders and clinical meeting discussions
  • Trigger required forms based on MDS schedules
  • Serve as the facility HIPAA Privacy Officer in conjunction with the Administrator and HIM
  • Run errands as needed, including travel to hospitals or physician offices for documentation signatures
  • Prepare hard copies of records for emergency preparedness
  • Other duties as assigned

Requirements:
  • Licensed Practical Nurse required
  • Preferred minimum of 2 years of experience in Long Term Care
  • Must meet all local health regulations and pass post-employment physical exam if required
  • Ability to perform essential duties satisfactorily with strong organizational and communication skills
