We are looking for an Administrative Assistant to provide support to our Residential Living team at Dock Woods! Our Administrative Assistant performs a variety of duties such as receiving visitors, arranging calls, scheduling meetings, preparing documentation, answering phones, assists with coordination of assigned projects or events, etc. Also manager HUD requirements for our affordable senior living complex.
Administrative Assistant Overview:
· Provides administrative support to the Safety Committee and the Risk Management group by performing routine administrative duties such as typing, filing, faxing, photocopying, labeling, placing/receiving phone calls, scheduling appointments, opening, sorting, and distributing incoming correspondence, etc
· Supervises receptionist and assists with receiving, screening, and directing all department telephone calls
· Greets visitors, employees and residents in a professional, courteous manner and directs them to their destination if needed
· Processes HUD senior property resident applications and completes required forms. Reviews applications, determines eligibility and maintains waiting list for the HUD senior property .
· Responds to resident questions and provides residents with information regarding the facility.
· Maintains office supply inventory. Processes supply orders, signs for and verifies receipt of items, and distributes delivered orders
· Prepares minutes, memos, and correspondence as requested and maintains documentation as required by regulations and organizational policies
· Must possess knowledge and understanding of computers including MS Office software
· Experience providing customer & personal services. This includes needs assessment, meeting quality standards, and evaluation of customer satisfaction
· Experience in secretarial skills such as typing, filling, written communication
· Good communication skills and ability to effectively interact with others
· High School Diploma or GED (required)
· Experience with affordable housing (preferred)
