Job Summary
We are seeking an Administrative Assistant who will provide administrative support to the Dean and the broader academic division. They will be managing complex calendars, overseeing division budgets, and acting as the primary point of contact for students, faculty, and college staff.
Key Responsibilities
- Manage the Dean’s professional calendar, ensuring all meetings are coordinated and prepared for in advance.
- Compose formal letters, memos, and administrative communications on behalf of the Dean.
- Review all division documents for completeness, content, and strict compliance with the College’s regulatory and legal standards.
- Attend Division meetings to record comprehensive minutes and ensure they are distributed to the division in a timely manner.
- Maintain organized and accurate records of all division agendas, historical activities, and administrative decisions.
- Coordinate all logistics and preparations for Division-sponsored events and academic functions.
- Monitor the Division budget, maintaining meticulous records of all funds and tracked expenditures.
- Serve as the primary liaison between the Division, the Business Office, and the Office of Financial Affairs.
- Facilitate conference registrations and comprehensive travel arrangements, including in-state and out-of-state accommodations.
- Manage high-volume mail correspondence, specifically regarding course cancellation notices for the Division.
- Act as the first point of contact for the Division, responding to inquiries from students and College staff members.
- Direct students and faculty to the appropriate campus offices and perform other related duties as assigned by the Dean.
Required Skills & Qualifications
- Minimum of 2 years of prior experience in an administrative assistant or receptionist role (Required).
- Advanced ability to use the Microsoft Office Suite (Outlook, Word, Excel, etc.) (Required).
- Strong written and verbal communication skills for composing professional correspondence.
- High level of attention to detail for document review and budget tracking.
- Ability to act with discretion when handling sensitive college information.
- Excellent interpersonal skills for directing students and faculty to campus services
