EXECUTIVE ASSISTANT & BOARD SECRETARY
Classification: Confidential 260 day calendar
Reports to: LBL Superintendent
FLSA Status: Exempt
POSITION OVERVIEW
As the Executive Assistant to the key administrators of the agency and Board this integral role supports all aspects of the agency. As a member of the Executive Team, this role works closely with the highest ranking positions in the agency and has a high degree of confidentiality, responsibility, and independence. As a critical resource for the Board of Directors, this position ensures the smooth running of our Board and the organization overall. This role is dynamic, offers complex challenges and rewards, as well as provides ongoing learning and growth.
QUALIFICATIONS
1. High school diploma or equivalent. Associates degree or additional training preferred.
1. Five years of successful experience providing executive administrative support in a K-12 or Educational Service District setting.
1. Skilled in using office information systems, as well as standard office equipment including audio recording systems. Knowledge of and experience working with Google Suite and Microsoft Office.
2. Experience with purchasing, requisitions, and procurement. Monitor fund balances and expenditures; track accounts, provide monthly reports, and recommend changes based on expenditures. Budgeting software experience preferred.
3. Experience preferred in monitoring, preparing, updating and revising Board policies for review.
4. Strong literacy skills including technical reading, business and technical composition, standard English usage, punctuation, grammar, spelling and letter formatting.
5. Exceptional prioritization of tasks, timely completion of work assignments, ability to take the initiative and work independently with minimal supervision.
6. Successful experience in recording accurate, detailed and concise minutes and/or notes for complex meetings, interviews, and other important interactions.
7. Cultivates and models a respectful working and learning environment by performing duties in a courteous and efficient manner that builds confidence of staff and enhances learning.
8. Strong program and project management skills, with the ability to independently manage multiple projects, track details, and effectively prioritize competing demands.

ESSENTIAL FUNCTIONS

1. Executive Support: Manages complex calendars and itineraries for the Superintendent, ensuring they are informed of all appointments and priorities.
2. Board Governance: Oversees all Board of Director meeting requirements, including public notices, recording official minutes, and ensuring legal compliance with Oregon state laws.
3. Elections & Appointments: Manages the selection process for interim Board members and serves as the primary liaison with County Elections Departments.
4. Information Management: Utilizes standard office software, databases, and efficiency tools (including AI) to organize information and automate routine administrative tasks.
5. Communication & Screening: Serves as a professional point of contact, screening calls and requests based on in-depth knowledge of agency policies and procedures.
6. Fiscal Oversight: Creates purchase orders, monitors financial transactions, and prepares budget reports for leadership.
7. Meeting & Travel Coordination: Manages all logistics for local and out-of-state travel, including transportation, lodging, and conference registrations.
8. Workflow Tracking: Maintains a follow-up system for reports and critical deadlines, ensuring timely completion of recurring obligations.
9. Leadership & Training: Acts as the lead administrative assistant, facilitating hiring, training, and agency-wide office support meetings.
10. Operational Independence: Executes high-level office operations with initiative and professionalism, performing effectively under pressure and shifting regulations.
11. Logistics & Morale: Manages office supplies and materials while fostering a collaborative, team-oriented environment to promote staff morale.

Placement on the Linn Benton Lincoln ESD Administrative salary schedule will be commensurate with applicant’s qualifications, relevant training, and experience
