Job Summary
The Account Payable Specialist is responsible for managing the company’s day-to-day accounts payable functions, ensuring accurate invoice processing, timely payments, and proper financial record keeping. This role works closely with internal departments and external vendors to resolve billing issues and maintain smooth financial operations.
The ideal candidate is detail-oriented, organized, and capable of handling a high volume of transactions in a fast-paced environment, especially within logistics or warehouse operations.
Key Responsibilities
- Process and verify vendor invoices, ensuring accuracy and proper documentation
- Prepare and execute payment runs (ACH, checks, wire transfers) on a regular schedule
- Maintain accurate AP records and update accounting systems in a timely manner
- Reconcile vendor statements and investigate discrepancies
- Track payment deadlines to ensure timely payments and avoid penalties
- Assist with month-end closing, including accruals and account reconciliations
- Ensure compliance with internal policies and accounting standards
- Collaborate with procurement, operations, and finance teams to resolve billing issues
- 1–3 years of accounts payable or general accounting experience prefer not required (logistics or warehouse industry experience is a plus)
- Strong attention to detail and accuracy in handling financial data
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment
- Good communication skills and ability to work cross-functionally
- Proficiency in Microsoft Excel (basic formulas, data tracking, reconciliation)
- Experience with accounting or ERP systems (e.g., QuickBooks, NetSuite, SAP, or similar)
- Familiarity with invoice processing, vendor management, and payment workflows
- Bilingual in English and Chinese is required.
- No certification required; practical experience is highly valued
