Position Summary: Provides office services by following administrative systems, procedures and policies
Position Qualifications: High school diploma or equivalent
Special Skills: General office experience including copying, filing, light typing; strong people skills to provide excellent internal and external customer service
Position Duties:
- Welcomes clients and visitors by greeting clients and visitors in person or on the telephone; answering or referring inquiries.
- Optimizes client satisfaction, provider time and treatment room utilization by scheduling appointments in person or by telephone.
- Keeps client appointments on schedule by notifying service provider of client’s arrival; reminding service provider of delays.
- Ensures availability of treatment information by filing and retrieving client records.
- Maintains client accounts by obtaining, recording, and updating personal and financial information.
- Obtains revenue by recording and updating financial information; recording and collecting client charges; controlling credit extended to clients; filing, collecting and expediting third-party claims.
- Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders, verifying receipt of supplies.
- Completes operational requirements by scheduling and assigning administrative projects; expediting work results; accurately completes required paperwork procedures.
- Maintains customer confidence and protects operations by keeping information confidential; following established confidentiality policy and procedures; maintaining professional boundaries with clients.
- Maintains inter- and intradepartmental work flow by fostering a spirit of cooperation.
