The Executive Assistant to the CEO provides high-level administrative and strategic support to the Chief Executive Officer. This role is critical in ensuring the efficiency, organization, and effectiveness of executive operations. The ideal candidate is proactive, highly organized, and capable of managing confidential information while supporting organizational priorities across multiple departments.
Educational Requirements: High school diploma or equivalent, Plus BA Degree or equivalent experience
Special Skills: Excellent office skills including word processing and spreadsheet software experience; strong people skills to provide excellent internal and external customer service. One or more years experience as an Executive Assistant.
Position Duties:
- Maintains work flow by studying methods, implementing cost reductions, and developing reporting procedures; accurately completes required paperwork procedures.
- Provides secretarial support to meetings by providing accurate documentation of minutes for Board of Directors and Executive Meeting minutes.
- Resolves administrative problems by coordinating preparation of reports; analyzing data; and identifying solutions.
- Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
- Provides information by answering questions and requests.
- Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders; verifying receipt of supplies.
- Completes operational requirements by scheduling and assigning administrative projects; expediting work results.
- Maintains customer confidence and protects operations by keeping information confidential; following established confidentiality policy and procedures; maintaining professional boundaries with clients.
- Maintains inter- and intradepartmental work flow by fostering a spirit of cooperation.
