We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to senior management. The ideal candidate will possess excellent communication skills, exceptional organizational abilities, and proficiency in a variety of office management tools. This role offers an opportunity to work in a dynamic environment where attention to detail and multitasking are essential. The Executive Assistant will play a vital role in ensuring the smooth operation of daily activities, managing schedules, coordinating projects, and supporting various administrative functions.

Responsibilities

  • Manage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangements using Google Workspace.
  • Provide executive administrative support such as drafting correspondence, proofreading documents, and transcribing meetings.
  • Coordinate projects and events, including planning logistics, preparing materials, and ensuring deadlines are met.
  • Support client delivery with a friendly attitude and a heart of service.
  • Perform data entry, filing, and general clerical tasks to maintain organized office records.
  • Assist with bookkeeping tasks and perform basic office management duties to ensure operational efficiency.
  • Utilize office software such as Microsoft Office Suite (Word, Excel, PowerPoint) and DocuSign for document signing and management.
  • Maintain confidentiality of sensitive information while providing excellent customer service to internal and external stakeholders.

Qualifications

  • Proven experience in an administrative or executive assistant role with strong office management skills.
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and willingness to learn other tools as needed.
  • Strong attention to detail for client communications.
  • Experience with bookkeeping software is preferred.
  • Exceptional communication skills including phone/Zoom etiquette and professional interpersonal skills.
  • Ability to handle multiple projects simultaneously while maintaining accuracy and professionalism.
  • Previous experience in event planning, project coordination, or customer service is advantageous.
  • High school diploma or equivalent required; additional college coursework or certifications in office administration is a plus. Job Types: Part-time, Contract

Pay: From $35.00 per hour
