We are seeking a highly organized, confident, and personable Front Desk Receptionist / Care Advocate to join our growing chiropractic practice. This role is far more than answering phones — you are a key protector of patient flow, communication, and experience.
The ideal candidate has at least one year of experience in a medical office or medical spa, thrives in a fast-paced, performance-driven environment, and is comfortable following systems, scripts, and measurable expectations.
Key Responsibilities
Patient Experience & Front Desk Operations
- Greet and assist patients in a warm, professional, and confident manner
- Serve as the first point of contact for all in-office and phone communications
- Perform accurate data entry, scanning, and uploading of patient documents
- Prepare and organize new patient paperwork and visit folders
- Maintain a clean, welcoming, and organized front desk and reception area
- Perform professional office tours for all new patients
Scheduling, Payments & Flow Protection
- Schedule patients accurately and efficiently according to provider availability and care plans
- Actively minimize no-shows, late cancellations, and scheduling gaps
- Ensure patients leave with their next appointment scheduled
- Process payments, explain billing clearly, and ensure autopay is set when required
- Prepare and submit superbills accurately and in a timely manner
Phone Handling & Communication
- Handle all new patient and existing patient phone calls using established scripts
- Confidently convert inquiries into scheduled appointments
- Return missed calls and follow up with leads within required timeframes
- Communicate the value of chiropractic care, consistency, and care plans while calmly addressing objections or concerns
Marketing, Events & Outreach
- Coordinate and manage the “New Patient of the Month” program
- Assist in planning, hosting, and executing in-office events (workshops, coffee chats, patient appreciation events)
- Support external events and community outreach as needed
- Track referral sources and assist with referral follow-up and appreciation
- Participate in reactivation outreach a few times per year as directed
Administrative Systems & Organization
- Complete assigned tasks in ClickUp daily and on time
- Perform inventory checks and notify management of supply needs
- Ensure all documentation and patient records are HIPAA compliant
- Assist with end-of-day and weekly administrative duties as assigned
Performance Expectations
This role is measured by weekly KPIs, including but not limited to:
- Scheduling accuracy and show rates
- New patient booking and conversion
- Timely follow-up of calls, leads, and missed appointments
- Task completion in ClickUp
- Event coordination and follow-up
- Overall patient clarity and experience
Success in this role requires consistency, follow-through, and comfort working with clear expectations and accountability.
Qualifications & Skills
Required
- Minimum 1 year experience in a medical office, chiropractic office, or medical spa
- Bilingual in Spanish (required)
- Minimum 1-year commitment required. This role is designed for someone seeking stability, growth, and long-term contribution within our practice.
- Strong computer skills and comfort learning new systems
- Excellent verbal communication skills with warmth and confidence
- Strong attention to detail and ability to multitask
- Reliable, punctual, and professional at all times
Preferred
- Experience with scheduling systems and payment processing
- Familiarity with ClickUp, EHR systems, or similar platforms
- QuickBooks experience (a plus, not required)
Training & Growth Opportunities
After completing a 1–3 month probationary period, you may be offered additional training (paid for by the clinic) to advance into a Chiropractic Assistant (CA) role. There is also opportunity to grow into a Level 2 CA or Office Manager position as the clinic expands.
Pay & Incentives
- This position begins with a 3-month probationary period at $18/hour.
- After successful completion of the probationary period and meeting performance expectations, pay will be reviewed and adjusted accordingly.
- Position is paid hourly, biweekly.
- Bonus opportunities available for patient referrals.
