Student Services Associate
Purpose Statement
The job of Student Services Associate is done for the purpose/s of creating, managing, and maintaining the student enrollment system for the school district; ensuring regulatory compliance with regards to student enrollment; providing support to families and staff; and maintaining accurate documentation.
This job reports to Director of Student Services
This is a 12 month position.

Essential Functions
Analyzes user needs, applies system analysis techniques, and collaborates with technology teams for the purpose of determining software and system functional specifications.
Assesses and documents Foster Care and McKinney-Vento homeless services referrals for the purpose of referring families and staff to resources or social services, as appropriate and following federal guidelines.
Creates manages, and maintains the district's student enrollment system for the purpose of ensuring accurate, timely student registration in compliance with board policy and state requirements.
Creates and maintains a variety of manual and electronic documents, files, records, webpages, training documents, and processes for the purpose of providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements.
Develops and maintains strong working relationships with key stakeholders for the purpose of building trust and providing great customer service.
Investigates residency discrepancies for the purpose of ensuring accurate student enrollment in accordance with Board policy, laws, and regulations.
Leads training sessions for staff on enrollment-related processes, including guardianship, court orders, residency requirements, transfer requests, McKinney-Vento, foster care, and disciplinary history, for the purpose of ensuring compliance with legal standards and district policies.
Prepares a variety of reports, spreadsheets and other materials (e.g. student enrollment reports, handouts, agendas, signs, posters, etc.) for the purpose of communicating information to other parties and/or agencies and ensuring that all relevant rules, laws, and regulations are maintained.
Researches new workflows and technology for the purpose of increasing efficiency and reducing reliance on manual processes.
Responds to inquiries from a variety of internal and external parties (e.g. families, employees, other schools, government agencies, etc.) for the purpose of providing information, facilitating communication among parties and/or providing direction.
Tests new and existing student registration application software for the purpose of ensuring it meets defined requirements and functionality expectations.
Updates and maintains enrollment databases by processing demographic changes, transfer requests, and other student records for the purpose of preserving data integrity and historical documentation.
Other Functions
Performs other related duties as assigned (e.g. answer phones, greet visitors, coordinate enrollment nights and reporting time for staff, etc.) for the purpose of ensuring the efficient and effective functioning of the work unit.

Skills, Knowledge and Abilities
SKILLS are required to perform multiple tasks with a need to periodically upgrade skills in order to meet changing job conditions. Specific skill based competencies required to satisfactorily perform the functions of the job include: operating standard office equipment including software applications; preparing and maintaining accurate records; being proficient in the student enrollment system; training staff on student enrollment system.
KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; read a variety of manuals, write documents following prescribed formats, and/or present information to others; and understand complex, multi-step written and oral instructions. Specific knowledge based competencies required to satisfactorily perform the functions of the job include: understanding of state and federal laws and board policies related to student enrollment, residency requirements, McKinney Vento, and foster care.
ABILITY is required to schedule a number of activities, meetings, and/or events; often gather, collate, and/or classify data; and use basic, job-related equipment. Flexibility is required to work with others in a wide variety of circumstances; work with data utilizing defined but different processes; and operate equipment using standardized methods. Ability is also required to work with a diversity of individuals and/or groups; work with similar types of data; and utilize job-related equipment. Work Environment
The usual and customary methods of performing the job's functions require the following physical demands: occasional lifting, carrying, pushing, and/or pulling, some stooping, kneeling, crouching, and/or crawling and significant fine finger dexterity. Generally the job requires 70% sitting, 15% walking, 15% standing. This job is performed in a generally clean and healthy environment.
Experience: Job related experience with increasing levels of responsibility is required.
