We are seeking a professional and organized Physical Therapy Office Front Desk Receptionist to join our healthcare team. The ideal candidate will serve as the first point of contact for patients, providing exceptional customer service while managing administrative tasks efficiently. This role requires a strong understanding of medical office procedures, EMR systems, and healthcare documentation to ensure smooth clinic operations and patient satisfaction.

Duties

  • Greet patients and visitors promptly and courteously, establishing a welcoming environment
  • Schedule appointments using electronic health record (EHR) systems such as Epic, Meditech, eClinicalWorks, or Athenahealth
  • Verify insurance coverage and perform insurance verification processes
  • Collect patient payments and process medical billing using appropriate CPT and ICD coding standards
  • Manage patient check-in and check-out procedures, including intake forms and documentation review
  • Maintain accurate medical records and ensure compliance with HIPAA regulations
  • Handle multi-line phone systems with professional phone etiquette, directing calls appropriately
  • Assist with filing, data entry, and maintaining organized patient files in dental or medical office management software like Dentrix or Eaglesoft
  • Support administrative tasks such as appointment reminders, follow-up calls, and documentation updates
  • Collaborate with clinical staff to facilitate care plans and ensure seamless communication between patients and providers

Requirements

  • Prior experience in a medical office setting, preferably in physical therapy or dental clinics
  • Proficiency with EMR/EHR systems including Epic, Meditech, eClinicalWorks, or Athenahealth
  • Knowledge of medical billing, coding (CPT, ICD-9/10), and insurance verification processes
  • Familiarity with HIPAA regulations and health information management best practices
  • Strong computer skills including Microsoft Office Suite (Word, Excel) and typing proficiency (10-key typing)
  • Excellent customer service skills with professional phone etiquette and effective communication abilities
  • Ability to handle administrative support tasks efficiently in a fast-paced environment
  • Bilingual abilities are a plus to serve diverse patient populations
  • Experience with dental terminology or clinic experience is desirable but not required
  • High attention to detail in documentation review and data entry tasks
