Legal Secretary | Miami, FL | Hybrid (2 remote days/week after 60 days)
A top law firm is seeking a highly organized and proactive Legal Secretary to support a high-volume partner and collaborate closely with the team. The ideal candidate thrives in a fast-paced environment, anticipates needs, manages multiple priorities, and delivers exceptional administrative support.
Responsibilities:
- Manage the partner's calendars, schedule meetings, and coordinate internal/external appointments (client meetings, conferences, depositions, court appearances)
- Arrange logistics for hearings and trial prep, including catering, transportation, and exhibit delivery
- Coordinate travel arrangements (flights, accommodations, ground transportation, and itineraries)
- Process invoices, check requests, and expense reimbursements
- Maintain and organize electronic and physical filing systems (docket management, correspondence, pleadings, discovery materials)
- Handle mail, package deliveries, and other administrative tasks
- Liaise with court reporters, videographers, and service providers
- Assist attorneys with billing and time entry
Qualifications:
- Minimum 3 years’ experience as an executive assistant, legal secretary, or paralegal in a high-pressure legal environment (Big Law preferred)
- Bachelor’s degree preferred
- Strong proficiency in Microsoft Office Suite
- Exceptional organizational skills with ability to prioritize and meet deadlines
- Collaborative team player with strong communication skills
- Willingness to work overtime as needed
