Document Operations Specialist
Role Overview
We are seeking a Document Operations Specialist to support high-volume document processing, imaging, and mailroom operations. This role ensures accuracy, efficiency, and confidentiality while handling sensitive information, including HIPAA-protected data, in a fast-paced production environment.
What You’ll Do
- Process and prepare incoming documents for scanning, including sorting, organizing, and repairing pages
- Scan, index, and upload documents into internal systems while ensuring accuracy and quality
- Review scanned images for clarity, completeness, and proper classification
- Operate and monitor mailroom equipment (inserters, sorters, postage meters) to process outbound mail
- Receive, sort, and distribute incoming mail and prepare shipments for delivery
- Perform basic equipment maintenance and troubleshoot minor issues to support daily production
- Ensure accuracy, confidentiality, and compliance when handling sensitive documents (PII/PHI)
What You’ll Bring
- Basic PC skills and ability to work within multiple systems
- Strong attention to detail and accuracy in repetitive tasks
- Ability to follow structured processes and meet deadlines under pressure
- Mechanical aptitude to operate and troubleshoot equipment
- Strong organizational and time management skills
- Flexibility with schedule and reliable attendance
Basic Qualifications
- High school diploma or GED required
- Experience in mailroom, document imaging, office operations, or inventory support preferred
- Basic understanding of U.S. Postal Service processes and mailing standards
- Valid driver’s license may be required (role dependent)
