Administrative Specialist

Position Overview

This role serves as a key point of coordination, supporting daily operations through budget tracking, contract and invoice management, meeting coordination, and member communications. The Administrative Specialist also acts as a primary contact for inquiries, ensuring timely, professional, and accurate responses.

Responsibilities
  • Track and support budget administration, including expenses, invoices, and reimbursements
  • Process, organize, and maintain contracts, quotes, and related documentation
  • Coordinate and schedule in-person and virtual meetings and events, including logistics and materials
  • Serve as a first point of contact for member inquiries, providing information or routing requests appropriately
  • Conduct online research to support department initiatives and projects
  • Assist with updating and maintaining backend website content
  • Support travel arrangements and reimbursement processes, as needed
  • Maintain accurate records and ensure compliance with established procedures
  • Collaborate effectively with internal stakeholders across a hybrid work environment
Skills & Qualifications
  • Strong written and verbal communication skills
  • High attention to detail with the ability to follow established processes and procedures
  • Excellent organizational and documentation-tracking skills
  • Experience supporting budget administration and financial tracking
  • Customer-service mindset with the ability to deliver professional, responsive support
  • Comfort working with technology, online research tools, and content management systems
  • Experience coordinating meetings, events, and logistics (preferred)
  • Experience supporting travel arrangements and reimbursements (preferred)
  • Ability to work effectively with hybrid and cross-functional teams

Pay Details: $22.00 to $23.00 per hour
