Position Overview
This role serves as a key point of coordination, supporting daily operations through budget tracking, contract and invoice management, meeting coordination, and member communications. The Administrative Specialist also acts as a primary contact for inquiries, ensuring timely, professional, and accurate responses.
Responsibilities
- Track and support budget administration, including expenses, invoices, and reimbursements
- Process, organize, and maintain contracts, quotes, and related documentation
- Coordinate and schedule in-person and virtual meetings and events, including logistics and materials
- Serve as a first point of contact for member inquiries, providing information or routing requests appropriately
- Conduct online research to support department initiatives and projects
- Assist with updating and maintaining backend website content
- Support travel arrangements and reimbursement processes, as needed
- Maintain accurate records and ensure compliance with established procedures
- Collaborate effectively with internal stakeholders across a hybrid work environment
- Strong written and verbal communication skills
- High attention to detail with the ability to follow established processes and procedures
- Excellent organizational and documentation-tracking skills
- Experience supporting budget administration and financial tracking
- Customer-service mindset with the ability to deliver professional, responsive support
- Comfort working with technology, online research tools, and content management systems
- Experience coordinating meetings, events, and logistics (preferred)
- Experience supporting travel arrangements and reimbursements (preferred)
- Ability to work effectively with hybrid and cross-functional teams
