About the Role
We are looking for a highly organized and adaptable Office Administrator to serve as the central hub of our daily operations. This role is critical in creating a professional, welcoming environment while supporting leadership and cross-functional teams through coordination, communication, and execution of administrative and facility-related activities. What You’ll Do
Administrative & Operational Support
- Provide comprehensive administrative and project support to leadership and teams
- Manage calendars, meetings, and logistics across departments
- Prepare reports, presentations, and documents using Microsoft Office tools
- Coordinate meeting materials, catering, and follow-up actions
- Handle mail, shipping, and courier services
- Process payments and coordinate with accounting as needed
Front Office & Communication
- Serve as the first point of contact for visitors, calls, and general inquiries
- Create a professional and welcoming office experience
- Manage and route communications with discretion and efficiency
Culture & Engagement
- Coordinate company events, employee recognition programs, and team activities
- Support initiatives that promote a positive and engaging workplace culture
Office & Facilities Management
- Maintain office organization, supplies, and equipment
- Troubleshoot minor equipment issues and coordinate vendor repairs
- Manage vendor relationships and support facility operations
- Assist with budget tracking and cost management
Technology & Systems Coordination
- Act as liaison with IT vendors for onboarding, offboarding, and issue resolution
- Coordinate equipment setup, procurement, and software licensing
- Support internal systems and monitor cybersecurity training compliance
Logistics & Vendor Coordination
- Manage shipping invoices, discrepancies, and vendor coordination (e.g., UPS)
- Support drop-ship vendors, order tracking, and reconciliation
- Assist with travel arrangements and off-site meetings
Customer & Team Support
- Provide backup support for customer service during peak times
- Assist internal teams and store operations as needed

What You Bring
Required Qualifications
- Experience: A minimum of 3-5 years of experience as a Receptionist/Administrative Assistant, supporting multiple teams or leaders.
- Skills:
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
- Strong organizational, multitasking, and problem-solving skills.
- Ability to manage confidential information with discretion.
- Comfortable working with office technology and systems.
- Reasoning Development: Ability to follow instructions furnished in written or oral form; deal with problems involving multiple concrete variables.
- Mathematical Development: Ability to add, subtract, and divide all units of measure.
- Language Development: Ability to read product manuals and reports, workplace rules and procedures; speak with poise and confidence, using correct English.
- Education: High school diploma or equivalent. Associate degree or additional administrative training are preferred.
