The Administrative Assistant for Federal Programs provides clerical, organizational, and compliance support to ensure the effective management of federally funded initiatives within the school district. This role assists with documentation, reporting, communication, and coordination of program activities to maintain compliance with state and federal regulations.

Key Responsibilities

  • Administrative Support
  • Prepare correspondence, reports, and presentations related to federal programs.
  • Maintain organized filing systems (digital and physical) for program documentation.
  • Schedule meetings, prepare agendas, and record minutes.
  • Compliance & Reporting
  • Assist with preparation and submission of federal and state reports.
  • Track deadlines for grant applications, monitoring visits, and audits.
  • Maintain accurate records of expenditures and program activities.
  • ð??¬ Communication & Coordination
  • Serve as a point of contact for staff, parents, and community partners regarding federal programs.
  • Coordinate training sessions, workshops, and professional development activities.
  • Disseminate information about program requirements and updates.
  • Data Management
  • Input and maintain program data in district and state systems.
  • Generate reports for administrators and stakeholders.
  • Monitor budgets and expenditures to ensure compliance with funding guidelines.
  • Support to Schools
  • Assist principals and teachers with documentation required for Title I and other federal programs.
  • Provide clerical support for parent involvement activities.
  • Help organize program-related events and initiatives.

Qualifications

  • High school diploma or equivalent required; associate's or bachelor's degree preferred.
  • Prior experience in administrative support, preferably in education or government programs.
  • Knowledge of federal education programs (e.g., Title I, Title II, Title III, Title IV, IDEA) preferred.
  • Strong organizational skills with attention to detail.
  • Proficiency in Microsoft Office Suite and data management systems.
  • Excellent written and verbal communication skills.
  • Ability to maintain confidentiality and handle sensitive information.
