Materials Manager & Programs Manager

Position Summary

The Materials Manager & Programs Manager is responsible for overseeing materials planning, inventory control, purchasing coordination, production support, and program execution to ensure operational efficiency and customer satisfaction. This role manages cross-functional activities across supply chain operations, scheduling, customer programs, and internal project coordination, while supporting company goals for quality, cost, and delivery performance.

Key Responsibilities

Materials Management

  • Oversee inventory planning, purchasing, receiving, storage, and material flow operations.
  • Maintain accurate inventory levels to support production schedules and customer demand.
  • Coordinate with suppliers to ensure the timely delivery of raw materials and components.
  • Monitor material shortages, excess inventory, and obsolescence risks.
  • Develop and maintain inventory control procedures and cycle count programs.
  • Analyze material requirements and forecast future supply needs.
  • Collaborate with production, engineering, and quality departments to support operational objectives.
  • Manage ERP/MRP system data accuracy related to inventory and purchasing activities.
  • Evaluate supplier performance and support cost reduction initiatives.

Program Management

  • Manage customer programs and internal projects from launch through completion.
  • Serve as the primary point of contact for assigned customer accounts and program activities.
  • Coordinate timelines, deliverables, production schedules, and resource planning.
  • Track program milestones, risks, and performance metrics.
  • Lead cross-functional meetings to ensure alignment between departments.
  • Support new product introductions and engineering change implementation.
  • Communicate program status updates to leadership and customers as needed.
  • Assist in resolving operational, scheduling, or supply chain issues impacting customer commitments.

Leadership & Administration

  • Supervise and support materials, scheduling, or program staff as assigned.
  • Develop and implement process improvements to enhance efficiency and accuracy.
  • Ensure compliance with company policies, quality standards, and safety procedures.
  • Prepare reports related to inventory, delivery performance, program status, and operational metrics.
  • Support strategic planning and continuous improvement initiatives.

Qualifications

  • Bachelor’s degree in Supply Chain Management, Business, Operations, or related field preferred.
  • 3–7 years of experience in materials management, supply chain, production planning, or program management.
  • Experience in manufacturing or industrial environments preferred.
  • Strong knowledge of ERP/MRP systems and inventory management principles.
  • Excellent organizational, analytical, and problem-solving skills.
  • Strong communication and customer service abilities.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Proficiency in Microsoft Office, especially Excel.

Working Conditions

  • Primarily office and manufacturing environment.
  • May require occasional overtime based on production or program demands.
  • Ability to sit, stand, and move throughout production facilities as needed.

Materials Manager & Programs Manager

Multi-Specialty Surgery Center

Position Summary

The Materials Manager & Programs Manager is responsible for overseeing all supply chain, inventory management, purchasing, and operational program coordination activities within a fast-paced ophthalmology surgery center. This role ensures the timely availability of surgical supplies, implants, medications, instruments, and equipment necessary to support high-quality patient care and efficient surgical operations.

The position works closely with surgeons, clinical leadership, vendors, sterile processing, scheduling, finance, and administration to maintain regulatory compliance, control costs, and achieve operational excellence.

Essential Duties & Responsibilities

Materials Management

  • Manage all purchasing, inventory control, and supply chain activities for the surgery center.
  • Maintain appropriate inventory levels of ophthalmic surgical supplies, implants, lenses, pharmaceuticals, and disposable items.
  • Coordinate ordering and replenishment for cataract, retina, glaucoma, oculoplastic, and other ophthalmology procedures.
  • Monitor supply utilization, expiration dates, backorders, and product substitutions.
  • Maintain accurate inventory records within inventory management and/or EMR systems.
  • Conduct routine cycle counts and inventory audits to ensure accuracy and compliance.
  • Establish and maintain strong vendor relationships to ensure competitive pricing and reliable delivery.
  • Evaluate product standardization opportunities and cost-saving initiatives.
  • Coordinate equipment repairs, preventive maintenance, and service schedules as needed.
  • Ensure proper storage and handling of sterile supplies and medications in accordance with regulatory standards.

Program & Operational Management

  • Coordinate operational programs and special projects to support surgery center goals and efficiency initiatives.
  • Assist leadership with the implementation of new procedures, equipment, and physician preferences.
  • Support scheduling coordination related to supply availability and procedural readiness.
  • Collaborate with clinical teams to optimize workflow and turnover efficiency.
  • Track operational metrics, supply costs, and program performance indicators.
  • Assist with onboarding and training related to supply management procedures and systems.
  • Participate in quality improvement initiatives and accreditation preparation activities.

Compliance & Regulatory Responsibilities

  • Ensure compliance with all applicable standards and regulations, including:
  • Centers for Medicare & Medicaid Services (CMS)
  • OSHA safety requirements
  • Infection prevention and sterile processing protocols
  • Maintain documentation required for audits, inspections, and accreditation surveys.
  • Support implementation of policies and procedures related to materials management and supply safety.

Qualifications

  • Supply Chain Management, Business, or related field preferred.
  • Minimum 3–5 years of experience in materials management, purchasing, or surgery center operations.
  • Ophthalmology or ambulatory surgery center experience strongly preferred.
  • Knowledge of ophthalmic surgical supplies, lenses, instrumentation, and sterile processing practices preferred.
  • Experience with inventory management systems, EMR systems, and Microsoft Office applications.
  • Strong organizational, analytical, and communication skills.
  • Ability to manage multiple priorities in a clinical environment.

Preferred Skills

  • Experience in an ambulatory surgery center (ASC) operation.
  • Knowledge of ophthalmology surgical workflows and physician preference management.
  • Strong vendor negotiation and cost containment abilities.
  • Familiarity with accreditation and regulatory survey processes.
  • Leadership and process improvement experience.

Physical Requirements

  • Ability to lift and move supply boxes and equipment up to 25–40 pounds.
  • Ability to stand, walk, bend, and move throughout clinical and storage areas.
  • Ability to work in a fast-paced healthcare environment with frequent interruptions.

Reports To

Administrator / Clinical Director (depending on organizational structure)

Pay: From $62,000.00 per year
