Position Overview
We are seeking a highly organized and professional Bilingual Office Manager (English/Spanish) to oversee the daily administrative operations of our growing home healthcare agency. This role is responsible for ensuring smooth office operations, supporting leadership, coordinating communication between staff and clients, and assisting with key human resources functions. The ideal candidate is detail-oriented, proactive, and comfortable working in a fast-paced healthcare environment while providing excellent support to both staff and patients.
Key Responsibilities
Office Administration
Oversee daily office operations to ensure efficiency and organization
Manage incoming calls, emails, and correspondence in both English and Spanish
Maintain office supplies, equipment, and vendor relationships
Coordinate schedules, meetings, and office calendars
Maintain accurate filing systems, including confidential employee and patient documentation
Support leadership with administrative tasks, reports, and special projects
Ensure compliance with agency policies and healthcare regulatory requirements
Human Resources Support
Assist with recruitment activities including posting job openings, scheduling interviews, and coordinating candidate communications
Support onboarding and orientation of new hires, including collecting required documentation
Maintain employee files and ensure compliance with HR and healthcare regulations
Assist with timekeeping, attendance tracking, and payroll coordination
Help coordinate employee training, certifications, and continuing education requirements
Serve as a point of contact for employee questions related to HR policies and procedures
Operations & Staff Support
Act as a liaison between caregivers, administrative staff, and leadership
Assist with staff scheduling and communication when needed
Support compliance with home healthcare regulations and agency standards
Maintain strong communication with field staff to ensure operational efficiency
Provide excellent customer service to patients, families, and healthcare partners
Qualifications
Bilingual in English and Spanish (required)
3+ years of office management, administrative, or healthcare office experience preferred
Experience supporting HR functions such as onboarding, recruiting, or employee file management preferred
Strong organizational, multitasking, and time management skills
Excellent communication and interpersonal skills
Proficiency in Microsoft Office (Word, Excel, Outlook)
Experience with healthcare or home health software systems is a plus
Ability to maintain confidentiality and handle sensitive information professionally
