Job Summary
We are seeking a highly organized and bilingual Front Office Receptionist to join our healthcare team. The ideal candidate will serve as the first point of contact for patients, providing exceptional customer service while managing administrative tasks efficiently. This role requires proficiency in medical office procedures, familiarity with electronic health records (EHR) systems, and the ability to communicate fluently in both English and Spanish. The receptionist will support clinical operations by handling patient intake, appointment scheduling, insurance verification, and maintaining accurate medical records, ensuring smooth clinic workflow and compliance with HIPAA regulations.
Responsibilities
- Greet patients warmly and professionally in both English and Spanish, ensuring a positive patient experience.
- Manage patient check-in and check-out processes using EMR systems, and other office management software.
- Schedule appointments efficiently while coordinating with clinical staff to optimize clinic flow.
- Maintain accurate medical records in compliance with HIPAA standards and health information management protocols.
- Answer multi-line phone systems with professional phone etiquette; handle inquiries regarding appointments, billing, and general clinic information.
- Assist with administrative support tasks such as filing, data entry (including 10 key typing), faxing, scanning documents, and managing electronic health records (EHR systems).
- Support clinical staff with care plan documentation review and other clerical duties related to patient care coordination.
- Ensure the clinic environment remains organized, clean, and welcoming at all times.
Skills
- Bilingual fluency in English and Spanish is required to effectively communicate with diverse patient populations.
- Experience working with EMR/EHR systems is highly preferred.
- Excellent customer service skills with a professional phone presence and strong interpersonal abilities.
- Ability to handle multiple tasks efficiently in a fast-paced environment while maintaining attention to detail.
- Knowledge of HIPAA regulations to ensure patient confidentiality at all times.
- Prior experience in a medical office setting is desirable; clinic experience or healthcare administrative background will be considered an asset.
