Pay: $50,000.00 - $60,000.00 per year Job Summary We are seeking a highly organized and proactive Front Office Supervisor to oversee daily front office operations, including check-in, check-out, reception, new patient coordination, and medical records management. . This position serves as the primary liaison between front desk staff and clinical or administrative department. Key Responsibilities: Front Office Operations Oversee daily front office workflows including check-in, check-out, patient intake, scheduling, and medical records processes. Ensure timely patient check-in and communication with clinical staff to maintain provider schedules. Monitor patient flow and distribute patients appropriately among providers. Confirm next-day appointments and follow up on cancellations or rescheduling needs. Coordinate appointment changes when provider schedules or surgeries impact clinic operations. Maintain a professional and organized reception and lobby environment. Audit patient charts before appointments to confirm all required records and documentation are available. Verify patient demographics, insurance, identification, HIPAA forms, and consents within the Practice Management System (PMS). Monitor adherence to front office financial policies, including co-pay and balance collection procedures. Maintain administrative logs, records documentation, and office reports as needed. Ensure forms, patient materials, and front desk supplies are stocked and organized. Maintain accurate logs for purged charts and medical records in compliance with office protocols. Ensure scanned documents and faxed records are uploaded accurately and promptly to the Electronic Medical Record (EMR). Monitor incoming call performance and ensure patient messages are addressed promptly. Model professional phone etiquette and patient communication standards. Cross-train front desk staff and provide coverage for front office roles when needed. Leadership Responsibilities Provide day-to-day leadership and guidance to front desk staff. Monitor team performance and workflow efficiency, addressing issues proactively. Train, mentor, and support staff, including onboarding new employees and reinforcing best practices. Identify opportunities to improve front office processes, patient flow, and overall patient experience. Partner with clinic leadership to address operational needs and support continuous improvement. Required Qualifications 3–5 years of experience in a medical front office or medical receptionist role. 1+ year of experience in a lead or supervisory role in a healthcare setting preferred. Strong knowledge of medical scheduling, insurance verification, patient intake, and front office operations. Experience with Electronic Medical Records (EMR) and Practice Management Systems (PMS). Strong organizational, multitasking, and problem-solving skills in a fast-paced environment. Excellent communication and interpersonal skills. Commitment to HIPAA compliance, patient privacy, and professional conduct. Preferred Qualifications Experience as a Front Office Supervisor, or Medical Office Coordinator. Experience training front office staff and improving workflow processes. Familiarity with insurance eligibility verification, point-of-service collections, and end-of-day financial close. Experience auditing charts or monitoring operational metrics. Bilingual communication skills are a plus.

Salary : $50,000 - $60,000
