About the Role:
Our law firm is seeking a Process Improvement Specialist to help streamline operations, reduce manual work, and support the rollout of firmwide technology initiatives. This role is ideal for someone who enjoys solving problems, improving workflows, and helping teams adopt new tools. You will work closely with attorneys, support staff, and leadership to ensure processes are efficient, compliant, and easy to use.
What You’ll Do
Process Improvement & Automation (80%)
- Review current legal and administrative workflows to identify inefficiencies and opportunities for automation.
- Build and maintain automated solutions using Power Automate, Zapier, or Python scripting.
- Evaluate tools and vendors; coordinate demos and assist with implementation planning.
- Lead team training on new systems, processes, and technologies.
- Create documentation, guides, and communication plans to support smooth transitions.
- Ensure updated processes meet legal, ethical, and regulatory requirements.
Technical Escalations & Support (20%)
- Act as the escalation point for technical issues related to workflows, automations, or software integrations.
- Coordinate with external vendors and IT support to resolve issues quickly.
Key Upcoming Project
- Assist in selecting and implementing a new Case Management Software, including vendor comparison, data migration planning, training the team, and supporting adoption across the firm.
What Success Looks Like
- Reduced manual steps in onboarding/offboarding and case-management processes.
- More efficient and consistent workflows across departments.
- Improved integrations between CRM, case management systems, and O365 (especially Excel-based tasks).
- Clear, measurable improvements such as time saved, reduced manual hours, and fewer vendor escalations.
Qualifications
- Experience in a law firm or legal operations environment. This is preferred but not required.
- Bachelor’s degree Information Systems, or a related field with relevant coursework, or equivalent professional experience in process improvement, legal operations, or technology implementation. Minimum 2 years of professional experience is preferred.
- Familiarity with automation tools such as Power Automate, Zapier, or Python scripting.
- Understanding of business process mapping and change management.
- Strong communication skills and comfort leading training sessions.
- Ability to translate technical concepts into simple, intuitive guidance for staff.
Preferred Certifications:
- Microsoft Certified: Power Automate RPA Developer Associate (PL-500)
- PCAP – Certified Associate in Python Programming
- Zapier Certified Expert
Pay: From $70,000.00 per year
