Legal Intake Specialist

Job Summary
We are seeking a professional and organized Legal Intake Specialist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and administrative support. This role requires strong communication skills, proficiency in office management tools, and the ability to multitask efficiently in a fast-paced environment. Bilingual abilities are a plus, as well as experience with Court systems. The Legal Intake Specialist plays a vital role in maintaining smooth office operations and ensuring a welcoming atmosphere for clients and staff alike.

Duties

• Greet visitors and clients warmly, ensuring a positive first impression
• Manage multi-line phone systems, screen calls, and direct inquiries appropriately
• Schedule appointments and manage calendar coordination using Google Workspace and Outlook
• Handle data entry, filing, and maintain accurate records using Mycase management software along with Efiling
• Assist with billing, bookkeeping, and basic administrative tasks such as proofreading documents and managing correspondence
• Provide excellent customer support through phone etiquette and professional communication
• Support office management activities including organization of files, inventory management, and supply ordering
• Maintain a clean and organized front desk area to promote a professional environment
• Perform clerical duties such as typing, proofreading, and data entry

Qualifications

• Proven experience in office management, clerical work, or administrative support
• Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
• Excellent organizational skills with the ability to prioritize tasks effectively
• Strong phone etiquette and customer service skills; bilingual abilities are advantageous
• Ability to handle multiple tasks simultaneously while maintaining attention to detail
• High school diploma or equivalent; additional certifications in office administration or related fields are beneficial
• Demonstrated time management skills with the ability to meet deadlines efficiently
