Responsibilities
- Greet clients, visitors, and vendors warmly, ensuring a positive first impression of the firm
- Manage multi-line phone systems, screen calls, and direct inquiries efficiently using professional phone etiquette
- Maintain appointment calendars and schedule meetings for attorneys and staff, utilizing calendar management tools
- Handle data entry tasks accurately using Microsoft Office, Google Workspace, and specialized legal or office management software
- Perform filing, document proofreading, and record keeping to ensure all legal files are organized and up-to-date
- Assist with billing, bookkeeping, and basic QuickBooks entries to support office financial processes
- Provide exceptional customer service by addressing client questions promptly and professionally while maintaining confidentiality
Skills
- Proven experience in office work, clerical work, or administrative support within a legal or medical environment
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
- Excellent organizational skills with the ability to prioritize tasks effectively in a busy setting
- Bilingual english/Spanish abilities are must to serve diverse client needs effectively
- Familiarity with multi-line phone systems, phone etiquette, and customer support best practices
- Experience with office equipment such as fax machines, scanners, and printers; knowledge of filing systems is preferred
- Attention to detail for proofreading documents and managing accurate records; typing speed is advantageous
- Personal assistant or medical/dental receptionist experience is a plus for understanding specialized client needs
- Knowledge of bookkeeping or basic QuickBooks operations to assist with financial tasks
- Strong time management skills to handle multiple responsibilities efficiently while maintaining professionalism
