Lavian LLP is an established boutique firm seeking an experienced Real Estate/Corporate Legal Assistant to support our transactional practice. This is a hands-on role for someone who thrives on owning the details, preparing the documents, coordinating closing logistics, and keeping matters moving.
You will work directly with attorneys and clients across acquisitions, dispositions, financings, leasing, and the corporate structuring that supports them.
Depending on your background and interests, this position may also include executive assistant support to a senior attorney, calendar and inbox management, travel, and day-to-day coordination. We are open to shaping the balance of substantive and support work around the right candidate.
Essential Functions Document Preparation
- Prepare, revise, redline, and proofread real estate documents, including conveyance and collateral documents, deeds, resolutions, certificates, contracts, purchase agreements, leases, and amendments.
- Prepare corporate documents such as entity formation packages, operating agreements, resolutions, consents, and annual filings.
Due Diligence and Closings
- Assist with real estate due diligence for closings, including surveys, deeds, titles, and environmental matters.
- Assist with and coordinate the processing of closing and post-closing documents, including complex filing and closing logistics.
- Prepare signature packets using Adobe Sign and DocuSign and manage execution through completion.
- Communicate and coordinate with clients, lenders, title companies, brokers, and opposing counsel throughout the closing process.
- Create and maintain client and administrative files in accordance with firm procedures, including within the document management system.
Matter and Practice Administration
- Perform initial conflict checks, open and close client matters, and prepare engagement letters.
- Enter and release attorneys' billable time in accordance with firm guidelines; review prebills for billings issued to clients for services rendered.
Required
- 2 years of legal assistant or paralegal experience, preferably, supporting real estate and corporate transactional work.
- Working knowledge of title insurance, escrow, and closing procedures,
- Proficiency with document management and e-signature platforms (Adobe Sign, DocuSign) and strong Microsoft Office skills.
- Highly organized, with hands-on document management experience, keeping files across many active matters orderly, current, and retrievable, and managing multiple closings on competing timelines.
- Demonstrated ability to handle a high-volume workload with minimal supervision, self-directed, deadline-driven, and able to prioritize independently.
- Strong written and verbal communication skills, with the judgment to know when to escalate.
Preferred
- Bachelor's degree or paralegal certificate.
- A prior law degree (LL.B., or foreign equivalent) is a plus. Foreign-trained attorneys and law graduates are encouraged to apply.
