About the Role
Latitude 33 Planning & Engineering is seeking a detail-oriented and highly organized Survey Project Accountant/Administrator to support our Field Survey Department. This role combines project accounting, billing, timekeeping, field coordination, prevailing wage administration, and project documentation. The position works closely with survey field staff, project managers, clients, and the Accounting team to ensure hours are recorded accurately, invoices are prepared on time, and project requirements are properly tracked. The ideal candidate has experience in project administration, accounting, billing, payroll, or compliance and is comfortable managing multiple deadlines in a fast-paced environment.
Key Responsibilities
Timesheets
- Assist survey field staff with entry of daily hours
- Confirm all time is entered and accounted for each week
- Verify Party Chief and Chainman hours are properly matched
- Ensure hours are coded correctly to contracted (base) scope vs. extra/out-of-scope work requiring a change order
Field Tickets
- Ensure survey staff submit field tickets for all completed services
- Review field tickets to determine whether work falls under daily contract services or extra/change order services
- Cross-check field ticket hours against timesheet hours for accuracy
- Follow up with clients to obtain signed field tickets
- Organize and match field tickets to monthly Time & Materials (T&M) invoices
Accounting & Documentation Support
- Track project budgets and collaborate with the team on budget status and timelines
- Prepare Change Orders and related supporting documentation
- Prepare monthly client invoices
- Prepare semi-monthly payroll hour reporting
- Maintain a survey staff log of total hours and position/classification per employee
- Track equipment, including vehicle maintenance, survey tools/equipment, and associated licenses
- Track and renew badges, dispatch slips, security clearances, and related credentials
Public Works Compliance
- Monitor compliance with public works requirements, including Certified Payroll, prevailing wage, and skilled & trained workforce requirements
- Maintain and update compliance logs, including DIR reporting and certified payroll records
- Coordinate timely certified payroll submissions and ensure regulatory deadlines are met
- Review union Project Labor Agreements (PLAs) and ensure compliance with dispatch requirements
- Obtain required credentials such as DBIDS, dispatch slips, Livescan, and related badging
System Management
- Use LCPtracker (or similar compliance management systems) to track payroll, reporting, and compliance data
- Ensure data accuracy across systems for wage rates, classifications, and hours worked
- Enter project information and budgets into Ajera
Qualifications
- 2 years of experience in project administration, billing, payroll, or compliance coordination — preferably in construction, surveying, engineering, or a related public works environment
- Working knowledge of, or strong willingness to learn:
- Ajera accounting/project management software
- California prevailing wage law and certified payroll requirements
- Union compliance and dispatch procedures (PLAs)
- LCPtracker or similar certified payroll/compliance tracking systems
- Strong organizational skills and high attention to detail
- Comfortable managing multiple deadlines across timesheets, invoicing, and compliance reporting
- Strong written and verbal communication skills for client and internal coordination
- Proficiency with Microsoft Excel and general office software
Preferred (Not Required)
- Prior experience supporting a field survey, civil engineering, or construction department
- Familiarity with DBIDS, Livescan, or government/base access credentialing processes
- Experience with Time & Materials (T&M) billing structures
