Duties
- Oversee all administrative functions, including filing, record keeping, and clerical support to ensure operational efficiency
- Manage front desk responsibilities, including greeting visitors, answering multi-line phone systems, and maintaining professional phone etiquette
- Coordinate scheduling and calendar management for executives and team members to optimize time utilization
- Supervise office staff and support team management initiatives, including training & development programs
- Handle vendor management tasks such as negotiating contracts, processing invoices via QuickBooks, and maintaining supplier relationships
- Oversee human resources functions including onboarding new employees, managing payroll processes, and supporting employee relations
- Organize company events, meetings, and training sessions to promote team engagement and professional growth
- Maintain office supplies inventory and oversee budgeting efforts to ensure cost-effective resource allocation
- Support medical office management tasks if applicable, including appointment scheduling and patient record organization
Skills
- Proven experience in office management or administrative roles with strong organizational skills
- Supervising experience with the ability to lead a diverse team effectively
- Proficiency in QuickBooks for bookkeeping, payroll processing, and financial record keeping
- Excellent communication skills for interacting with staff, vendors, clients, and visitors
- Strong event planning capabilities for organizing meetings, corporate events, or training sessions
