Position Summary
The Office Operations Manager is a key leadership role responsible for coordinating daily field operations, managing customer communications, and ensuring all jobs are properly prepared, scheduled, documented, and followed through. This position works closely with field crews to ensure they are fully equipped for success each day and that customers receive clear, timely, and professional communication throughout the service process.
This role requires strong organizational skills, confidence in pool industry knowledge, and the ability to proactively manage people, schedules, and details in a fast-paced seasonal environment.
Schedule & Work Hours
- Start time: 7:00 AM
- Typical workday: 8–10 hours, depending on workload and season
- Seasonal position (generally April–October)
- Unemployment (November to February)
- Some flexibility required due to weather, job changes, and customer needs
Key Responsibilities:
Daily Field Coordination
- Prepare daily job details in Pool Office Manager (POM) for field crews, including job scope, pricing, materials, tools, and special instructions
- Brief field crews each morning and assist with truck loading as needed
- Serve as the primary point of contact between the office and field crews throughout the day
- Support and direct field crew operations, resolving scheduling or job-related issues as they arise
Customer Communication & Lead Management
- Manage all incoming customer communications, including phone calls, voicemails, emails, text messages, and website form submissions
- Respond to customer inquiries promptly and professionally
- Nurture leads from initial inquiry through quoting, contracts, deposits, and scheduling
- Communicate job details, timelines, and expectations clearly with customers
- Handle customer questions, concerns, scheduling changes, and service issues with professionalism and care
Scheduling & Job Forecasting
- Review daily, weekly, and forward-looking job schedules to ensure readiness
- Confirm materials, tools, pricing, permits, deposits, and payments are in place prior to job execution
- Coordinate with subcontractors or other vendors when required
- Monitor weather daily and weekly, proactively rescheduling jobs when necessary and informing customers promptly
Vendor & Sales Coordination
- Communicate with manufacturers, suppliers, and reps (e.g., Merlin, Hayward, Baystate, Imperial) regarding product information, availability, pricing, or issues
- Conduct site visits for inspections, liner measurements, and closing sales opportunities when needed
- Meet with customers for contracts, deposits, and project discussions
Documentation & Reporting
- Review POM reports completed by field crews for accuracy, completeness, and quality
- Email completed job reports to customers daily for jobs completed the previous day
- Review and update POM reports for jobs scheduled one week in advance to ensure all notes, photos, materials, tools, and prior issues are documented
- Maintain accurate records and ensure company standards for documentation are consistently met
Leadership & Team Expectations
- Demonstrate leadership by supporting, supervising, and directing field crews as needed
- Maintain a positive, professional, and proactive attitude
- Work collaboratively with ownership and team members while following Coty Pool Co. standards and procedures
- Take initiative to identify issues before they become problems and implement solutions
Qualifications & Skills
- Strong working knowledge of pool services, including openings, closings, equipment (pumps, filters, heaters), liner replacements, leak detection, water chemistry, and automation
- Excellent written and verbal communication skills
- Ability to confidently manage customer interactions and direct field crews
- Highly organized with strong attention to detail
- Comfortable using job management software and technology (POM experience preferred)
- Ability to multitask, prioritize, and adapt in a fast-paced, seasonal environment
